What this workflow does

Lists built from web forms pick up typos, throwaway addresses and fake sign-ups. Finding them later means bounced emails and cleanup work. This workflow checks each address as it comes in, before it is stored in your spreadsheet.

When a visitor submits a Fluent Forms form, FlowMattic sends the email field to MailRefine with its Verify Single Email action. The response from MailRefine becomes data you can map, just like the form answers. The last step adds a row in Google Sheets, and you choose which columns hold the form answers and which hold the result of the check.

As imported, every submission is added to the sheet whatever the result, which gives you a full record with each address marked. If you want only verified addresses in the sheet, place a Filter between MailRefine and Google Sheets. The tips below explain that change.

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Changes worth making after you import it.

Add a Filter between MailRefine and Google Sheets that continues only when the verification result matches the value MailRefine returns for a valid address. The sheet then holds verified addresses only.
Use a Router instead of a Filter to send valid and failed addresses to two different sheets, so you keep a record of both.
After import, submit one entry with your own address and one with a made-up address. MailRefine's response fields are then captured and ready to map in the Google Sheets step.

Questions about this workflow

Does the workflow keep invalid emails out of the sheet?

Not as imported. Every submission gets a row, and the MailRefine result is there to map next to it. Add a Filter after the MailRefine step if you want invalid addresses left out.

Do I need a MailRefine account?

Yes. The verification step runs through your MailRefine account, which you connect when you import the workflow. Check your MailRefine plan for how many verifications it includes.

Is the email checked before Fluent Forms saves the entry?

No. The workflow starts after the form is submitted, so Fluent Forms stores the entry as usual. The check happens in FlowMattic and only affects what goes to Google Sheets.

Can I use a different form plugin?

Yes. Replace the Fluent Forms trigger with another form trigger in FlowMattic, then remap the email field in the MailRefine step and the columns in the Google Sheets step.
