The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

People who pay you expect a confirmation. Writing each receipt by hand is slow, and a late one can prompt a worried reply asking whether the money arrived. This template sends the receipt from your own Gmail address as soon as Myfundbox reports the payment.

The Myfundbox trigger is Payment Created, which fires when a payment is done. The payment data Myfundbox sends becomes available to map. The Gmail step then sends an email: you set the recipient to the payer's email value, write a subject such as "Your payment receipt", and build the body from payment values like amount, date and reference wherever Myfundbox provides them.

The receipt is the email text itself; this template doesn't create or attach a PDF. Every payment starts a run, since there is no Filter. If a payment arrives without an email address for the payer, Gmail has no one to send to, and Task History shows the error on the Gmail step.

Donation acknowledgements

A charity collecting through Myfundbox sends each donor a thank-you receipt from the charity's Gmail address with the amount they gave.

Course or membership fees

A trainer taking fees in Myfundbox emails each payer a confirmation that names what they paid for and when.

Small service invoices paid online

A freelancer gets paid through Myfundbox, and the client receives a receipt from the freelancer's own inbox, so replies come straight back.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Myfundbox Payment Created

Starts the receipt run once Myfundbox reports a completed payment. The payment details it sends, such as amount and payer information where included, are passed on for the email.

  2. Step 2Action
    Gmail Send Email

Sends the receipt email from your connected Gmail account. Map the payer's email as the recipient and place payment values in the subject and body.

What you need

  • FlowMatticCore
  • Myfundbox AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Make a small test payment after import so FlowMattic captures real Myfundbox data. You can then see which values exist, including the payer email, before writing the receipt.
  • Use a Number Formatter step with Format Currency before the Gmail step so the amount in the receipt shows the currency the way you want.
  • Need a copy for your records? Add a Google Sheets Add New Row step after the Gmail step to log each payment and the address the receipt went to.

Questions about this workflow

Does the Gmail receipt include a PDF invoice?

No. The template sends a plain email whose text you write from the payment data. It does not generate or attach a document.

Who receives the Myfundbox receipt email?

Whoever you map as the recipient, normally the payer's email from the payment data. Check a test payment to confirm Myfundbox includes it.

Will payers see my Gmail address as the sender?

Yes. The email goes out through the Gmail account you connect, so it appears in their inbox from that address, and replies come back to it.

Are receipts sent for payments made before I set this up?

No. Only payments completed after the workflow is active trigger an email.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.

Ease of use and terrific support from the founder. Tons of integrations and regular updates. The Flowmattic custom app is great especially if you want to integrate apps that aren't available yet inside Flowmattic.
