Log each new Funraise transaction in a Google Sheets donation tracker

Whenever a transaction is created in Funraise, this workflow adds it as a new row in a Google Sheets donation tracker, so your team has a spreadsheet record of every gift to sort, total and share.

The Log each new Funraise transaction in a Google Sheets donation tracker workflow on the FlowMattic canvas, with 2 steps across Funraise, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Funraise holds your donation data, but finance staff, board members and volunteers often want a plain spreadsheet they can total, filter or chart. Exporting from Funraise each week gives them a copy that is out of date the next day. This workflow keeps a Google Sheets tracker growing as gifts come in.

The Funraise trigger, Transaction Created, fires when a new transaction is created. FlowMattic receives the transaction data Funraise sends and passes it to Google Sheets. The Add New Row step then writes those values to the spreadsheet and sheet you pick, one column per field you map.

Each transaction adds one row, and nothing is ever overwritten. There is no Filter as imported, so every transaction type the trigger receives is logged. Make one test donation after import to see what Funraise sends, set up your columns, and map the values. Task History shows each run and the row data that was sent.

Monthly giving totals for the finance team

Your bookkeeper totals the tracker each month with a SUM formula and checks it against bank deposits, without needing a Funraise login.

Campaign progress for the board

Board members get view access to the sheet and see each gift arrive during a campaign, with a chart built on the amount column.

Thank-you calls by volunteers

Volunteers work through the newest rows in the sheet to phone donors and mark a column when each call is done.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Funraise Transaction Created

Fires when a new transaction is created in Funraise. Connect your Funraise account. The transaction details Funraise sends become available to map into the spreadsheet.

  2. Step 2Action
    Google Sheets Add New Row

Writes each transaction to a new row in the spreadsheet you choose. Add column headings for the values you want, such as amount, donor and date, then map the Funraise data into them.

What you need

  • FlowMatticCore
  • Funraise AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the trigger if the tracker should hold only some transactions, using a value from the Funraise data such as the amount or the campaign.
  • Put a Router after the trigger, with a route per campaign name and its own Google Sheets step, to keep a separate tab or spreadsheet for each appeal.
  • Add a Slack or email step after Google Sheets so the fundraising team also hears about each gift as it is logged.

Questions about this workflow

Will Funraise transactions from before I import this appear in the sheet?

No. Only transactions created after the workflow is turned on are added. Export earlier ones from Funraise and paste them in if you want a full history.

Does every Funraise transaction create a row?

Yes, as imported. The trigger runs for each new transaction. Add a Filter after it if you want to leave some out.

Can I add my own columns to the donation tracker?

Yes. Columns the workflow does not map stay empty on new rows, so you can use them for notes or a thank-you status that your team fills in.

Does the workflow change anything in Funraise?

No. It reads each new transaction and writes only to Google Sheets.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.

Ease of use and terrific support from the founder. Tons of integrations and regular updates. The Flowmattic custom app is great especially if you want to integrate apps that aren't available yet inside Flowmattic.
