When Submission Received in KwesForms, Add Row in Google Sheets

Every new KwesForms submission is added to a Google Sheets spreadsheet as its own row, so responses from forms on your static or headless sites end up in one sheet your team can filter, chart and share.

The When Submission Received in KwesForms, Add Row in Google Sheets workflow on the FlowMattic canvas, with 2 steps across KwesForms, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

KwesForms is popular for forms on static sites and landing pages, where there is no database of your own to keep entries in. Reading them one email at a time is fine for a handful, but not once you want to compare, count or hand them to a colleague. This workflow keeps a spreadsheet of every entry.

The KwesForms trigger starts a run each time your form accepts an entry. FlowMattic takes each field and passes it to Google Sheets. The Add New Row action writes the values into the spreadsheet and tab you pick, with each form field matched to a column you choose.

One submission means one new row, appended under the last. Nothing is filtered, merged or deduplicated, so the sheet mirrors what the form received, including test entries. KwesForms keeps handling the submission as before. If a row is missing, Task History shows the run and the data that came with it.

Landing page leads for a marketing team

A KwesForms form on a static landing page feeds a shared sheet that marketing uses to count sign-ups per campaign.

Job applications on a careers page

Applicants submit through KwesForms, and the hiring team reviews them as rows, adding notes in extra columns.

Event RSVPs on a portfolio or club site

RSVPs collect in Google Sheets, which doubles as the guest list and headcount for catering.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    KwesForms Submission Received

Fires when your KwesForms form receives a new submission. Each submitted field becomes a value you can send to the spreadsheet.

  2. Step 2Action
    Google Sheets Add New Row

Writes the entry below the last row of the Google Sheets tab you choose. Connect your Google account, select the spreadsheet and tab, and map form fields to columns.

What you need

  • FlowMatticCore
  • KwesForms AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Create the column headers in your sheet first, using the same names as your KwesForms fields, so mapping is quick and clear.
  • Add a Filter after the trigger to keep your own test entries out, for example continuing only when the email does not contain your domain.
  • Send one test submission after import so FlowMattic captures the field list, then complete the column mapping and turn the workflow on.

Questions about this workflow

Do older KwesForms submissions get added to the sheet?

No. Only submissions received after the workflow is active create rows. Export older ones from KwesForms if you want a complete sheet.

What happens if I add a new field to the KwesForms form later?

It is not written anywhere until you add a column for it and map it in the Google Sheets step. Send a test submission so FlowMattic picks up the new field.

Can I send KwesForms entries from several forms to one Google Sheet?

Yes. Import one copy of the workflow per form and point each copy at the same spreadsheet, using a separate tab per form if the fields differ.
