When a new form submission is received in Gravity Forms, check if the email is valid using MailRefine, and add new subscriber in MailPoet
Every Gravity Forms entry has its email address checked by MailRefine, then the person is created as a MailPoet subscriber. As imported every entry is added, and a Filter lets you keep out failed addresses.

What this workflow does
A sign-up form on your site feeds your MailPoet list, but typos and fake addresses come with it. Sending newsletters to addresses that don't work only produces bounces. Checking each address as it arrives gives you the information to keep those out.
When someone submits a Gravity Forms form, FlowMattic passes the email answer to MailRefine using its Verify Single Email action. MailRefine's response is added to the run's data. The last step creates a new subscriber in MailPoet from the form's email and name fields.
Be aware of how it runs as shipped. There is no Filter between the check and MailPoet, so every entry becomes a subscriber whatever MailRefine says. To add only addresses that pass, put a Filter on the MailRefine result before the MailPoet step. The tips explain the change.
Newsletter form on a WordPress blog
A Gravity Forms sign-up box adds readers to MailPoet. With a Filter on the MailRefine result, mistyped addresses never reach your list.
Gated download for leads
Visitors enter an email to get a guide. Checking it with MailRefine first lets you keep made-up addresses out of the MailPoet list you email later.
Event registration with a mailing list
A Gravity Forms registration form for a workshop adds each attendee to MailPoet, and the MailRefine check flags mistyped addresses before reminder emails go out.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Gravity Forms New Form SubmissionRuns when a visitor submits your Gravity Forms form on this WordPress site. The email address and other answers move on to the next two steps.
MailRefine Verify Single EmailPasses the Gravity Forms email answer to MailRefine to be checked. Map the Gravity Forms email field and connect your MailRefine account. The response is then available to later steps.
MailPoet Create New SubscriberCreates a subscriber in MailPoet from the form entry. Map the email address and any name fields. As imported, this runs for every entry, whatever the MailRefine result.
What you need
- FlowMatticCore
- Gravity Forms PluginPlugin
- MailRefine AccountAccount
- MailPoet PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter between MailRefine and MailPoet that continues only when the result field matches what MailRefine returns for a valid address. Check a test run to see that value.
- Submit two tests after import, one with your real address and one with a made-up address, so you can see MailRefine's response for each before building the Filter.
- If your form has a consent checkbox, add a second condition to the Filter so only entries with consent ticked become MailPoet subscribers.
Questions about this workflow
Does this keep invalid emails out of MailPoet as imported?
No. Every Gravity Forms entry continues to MailPoet whatever MailRefine returns. Add a Filter on the MailRefine result before the MailPoet step to stop failed addresses.
What happens if the email is already a MailPoet subscriber?
The step creates a new subscriber, so MailPoet may refuse an address it already has. Task History shows the response on that step, and the run still completes.
Is a MailRefine account required to verify Gravity Forms emails?
Yes. FlowMattic calls MailRefine with your own account details, so connect that account to the verification step once you import.
Does MailPoet need to be on the same site as Gravity Forms?
Yes. Both are WordPress plugins, and this template expects Gravity Forms and MailPoet installed on the same site as FlowMattic.
