When new form submission is received in FormCrafts, check if a field contains a word using Filters, and add the data to Google Spreadsheet

Check each FormCrafts submission for a word you choose in a field, and add the entries that contain it to a Google Sheets row. The Filter ships without a condition, so you set the word before turning it on.

The When new form submission is received in FormCrafts, check if a field contains a word using Filters, and add the data to Google Spreadsheet workflow on the FlowMattic canvas, with 3 steps across FormCrafts, Filter, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A single FormCrafts form often collects several kinds of entry, and the person working from the spreadsheet only cares about some of them. Matching on a word is a simple way to sort them: an answer that mentions "wholesale", a message containing "urgent", a product field naming one item. This workflow logs only the entries that match.

Each time someone completes your FormCrafts form, the trigger starts a run. The run then reaches a Filter, where you set a condition such as a field that contains your word. Entries that match continue to Google Sheets and are written to a new row with the columns you map.

The condition isn't part of the template. As imported, the Filter has no rule, and an empty Filter stops every run, so nothing reaches the sheet until you pick the field, choose a "contains" check and type the word. Task History shows where each submission stopped while you test.

Wholesale enquiries from a general form

A FormCrafts contact form takes all kinds of messages. Entries whose company type field contains "wholesale" go to the sheet the trade sales rep works from.

Urgent requests for a support lead

Set the Filter to look for "urgent" in the message field, and the support lead gets a sheet of only those submissions.

Interest in one product

A quote form lists several services. Entries whose service answer contains the name of one service are logged for the person who handles it.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    FormCrafts New Submission Received

Fires when FormCrafts receives a new submission on your form. Each answer becomes data the Filter can test and the sheet step can map.

  2. Step 2Logic
    Filter filter

Holds the word check. Add a condition after import, such as a chosen field that contains your word. Until a condition is set, this Filter stops every run here.

  3. Step 3Action
    Google Sheets Add New Row

Writes each FormCrafts entry that passed the Filter to a new row in your Google Sheets spreadsheet. Connect Google, pick the sheet and map form answers to its columns.

What you need

  • FlowMatticCore
  • FormCrafts AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Mark the FormCrafts field you check as required, so every entry gives the Filter an answer to test.
  • Keep entries that don't match by replacing the Filter with a Router: one route checks for the word and writes to this sheet, and another route writes the rest to a second sheet.
  • Send two FormCrafts test entries after import, one with the word and one without, and confirm in Task History that only the first reached the Google Sheets step.

Questions about this workflow

Why does nothing reach my Google Sheet right after import?

The Filter has no condition in the template, and a Filter without conditions stops every run. Add the field and word you want to match, and entries that contain it will start reaching the sheet.

Is the FormCrafts word check case-sensitive?

Confirm it before you rely on a single spelling. Submit the word in different capitalisation and check in Task History which runs passed the Filter.

Do FormCrafts entries that fail the check still exist somewhere?

Yes. FormCrafts still receives the submission as usual. The workflow only decides whether a row is added to the spreadsheet.

Will FormCrafts entries sent before import end up in the sheet?

No. Only submissions FormCrafts receives while the workflow is on are checked, so earlier entries stay out of Google Sheets.
