Add new Givebutter contacts to a Mailchimp audience for donor outreach

When a new contact is created in Givebutter, this workflow adds that person to your Mailchimp audience, or updates them if they are already on it, so your donor email list keeps pace with your supporters.

The Add new Givebutter contacts to a Mailchimp audience for donor outreach workflow on the FlowMattic canvas, with 2 steps across Givebutter, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Givebutter collects your donors and ticket buyers, while your newsletters and appeals go out from Mailchimp. Without a link between them, someone exports contacts from one and imports them into the other, and the list falls behind between exports. This workflow moves each new supporter across as Givebutter records them.

The Givebutter trigger fires when a contact is created, either because a new transaction came in or because someone on your team added the contact by hand. FlowMattic takes that contact's data to Mailchimp and runs Add New Member on the audience you connect. If the email address is new to that audience, Mailchimp adds it. If it is already there, Mailchimp updates the existing member instead.

The trigger reacts to new contacts only. A returning donor who already has a Givebutter contact does not start a new run when they give again. Task History records each run, so you can check what was sent to Mailchimp for any supporter.

Thank-you series for first-time donors

A person gives through your Givebutter campaign page for the first time. They join your Mailchimp audience, where your welcome automation can greet them.

Event ticket buyers into your newsletter

Someone buys a ticket to your gala through Givebutter and becomes a new contact. Their address reaches Mailchimp so they get your event updates and later appeals.

Contacts your team adds by hand

A board member passes on a supporter's details and you add them in Givebutter. That manual contact is sent to Mailchimp the same way as a donor.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Givebutter Contact Created

Runs when a contact is created in Givebutter, whether from a new transaction or added by hand. The contact's data is handed on for mapping in Mailchimp.

  2. Step 2Action
    Mailchimp Add New Member

Adds the Givebutter contact to your Mailchimp audience, or updates the member if that email is already on the list. Map the contact's email and any name data you want to keep.

What you need

  • FlowMatticCore
  • Givebutter AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the Givebutter trigger that continues only when the contact has an email address, so runs for contacts without one stop before Mailchimp.
  • Want a plain record of new supporters too? Add a Google Sheets Add New Row step after Mailchimp and map the same Givebutter contact data into it.
  • Create one test contact in Givebutter after import. FlowMattic then captures a real contact, which shows you exactly which fields you can map into Mailchimp.

Questions about this workflow

What happens if the Givebutter donor is already in my Mailchimp audience?

Add New Member updates the existing member instead of adding a second one. Mailchimp keeps one entry per email address in an audience.

Does a repeat donation in Givebutter run the workflow again?

Only when it creates a new contact. The trigger fires on contact creation, so a supporter who already has a Givebutter contact does not trigger another run when they give again.

Will my existing Givebutter contacts be copied to Mailchimp?

No. Only contacts created after you turn the workflow on are sent. Bring older supporters over with Mailchimp's own import.

Should I have donor consent before adding them to Mailchimp?

Yes. Only email people who agreed to hear from you. If you record consent in Givebutter, add a Filter that checks it before the Mailchimp step.
