What this workflow does

A cancelled meeting frees a slot, but only if someone notices. If you or your staff keep an eye on WhatsApp more than email, a message there is a quicker cue to rebook the time or contact the person. This workflow sends one each time Appointlet records a cancellation.

The Appointlet trigger fires when a meeting is cancelled, and FlowMattic receives the meeting data. The WhatsApp Cloud API step then sends a text from your business number. Set the recipient to your own or a colleague's number, or map one from the meeting data, and write the message with values such as the invitee's name and the meeting time.

WhatsApp limits free-form text. It is delivered only if the recipient messaged your business number in the previous 24 hours. A staff member who chats with that number regularly can receive these alerts; most invitees won't. To message invitees, change the step to Send Template Message with a template WhatsApp has approved. Task History shows WhatsApp's response for each run.
