When a new Poptin lead arrives, log it in Google Sheets and alert the team in Slack

Every lead a Poptin popup or form captures is added as a row in Google Sheets and then posted to a Slack channel, so your team has a record of each signup and hears about it as it comes in.

The When a new Poptin lead arrives, log it in Google Sheets and alert the team in Slack workflow on the FlowMattic canvas, with 3 steps across Poptin, Google Sheets, Slack
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Popup leads are easy to lose track of when they sit only in the Poptin dashboard. This workflow copies each one into a spreadsheet you control and tells your team in Slack, so sales or support can follow up without anyone checking Poptin by hand.

A run starts whenever a visitor converts on one of your Poptin popups or forms and becomes a new lead. The values the visitor entered, such as an email address or name, are passed to the next steps. A test submission shows exactly which fields your popup sends.

The Google Sheets step adds a new row for the lead. After that, Slack receives a message in whichever channel you select. Both steps ship unmapped: after import you connect each account, choose the spreadsheet and channel, map lead fields into the columns, and write the Slack message with the fields you want the team to see.

Every lead runs both steps, whichever popup it came from. If you run several popups and want them told apart, map the popup or campaign name if Poptin sends one, or add a Filter as the tips describe.

Sales follow-up on discount popups

An online store posts every exit-intent popup signup to a #leads channel, and a team member replies to high-value visitors the same day.

Webinar registrations in one sheet

A marketing team collects webinar signups with a Poptin form and keeps the attendee list in Google Sheets for the host to review.

Lead log for an agency client

An agency running popups on a client's site shares the Google Sheet with the client while its own team watches the Slack alerts.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Poptin New Lead

Fires each time Poptin captures a new lead through a conversion on one of your popups or forms. The values the visitor submitted are made available to the next steps.

  2. Step 2Action
    Google Sheets Add New Row

Adds the lead as a new row in the spreadsheet you choose. The step ships with no columns mapped, so pick the sheet after import and match each Poptin field to a column.

  3. Step 3Action
    Slack Send Channel Message

Posts a message about the lead to a Slack channel. Choose the channel and write the message after import, mapping in lead details such as the email address.

What you need

  • FlowMatticCore
  • Poptin AccountAccount
  • Google Sheets AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put a Filter between the Google Sheets step and the Slack step that continues only for leads from one popup or with a company field filled in. Every lead still reaches the sheet, and only those leads are posted to Slack. Treat that condition as an example and set your own.
  • Send Channel Message is meant for a regular #channel. If your leads channel is private, replace it with Slack's Send Private Channel Message action. When one salesperson should get each alert alone, Send Direct Message is the action to pick.
  • Add a column that records the date of each lead, so you can sort the sheet and see which days your popups collect the most signups.

Questions about this workflow

Which Poptin lead fields reach Google Sheets and Slack?

Only the ones you map. Both action steps ship empty, so after import you match the fields your Poptin popup collects to sheet columns and add them to the Slack message.

Does every Poptin popup on my site trigger this?

Every new lead captured through a Poptin conversion starts a run. To handle only some popups, put a Filter between the Poptin trigger and the Google Sheets step on a value that tells them apart, and test it with a real submission.

Can Poptin lead alerts be posted to a private Slack channel?

Use Slack's Send Private Channel Message action instead of Send Channel Message for a private channel. Send Direct Message works if one person should get the alert.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
