When a new submission is received in WPForms, check if the email is valid with Mailboxlayer, and add details to Google Spreadsheet

Each WPForms submission has its email address checked with Mailboxlayer, then the entry and the check’s response are written to a new Google Sheets row, so you can see which addresses passed before you use the list.

The When a new submission is received in WPForms, check if the email is valid with Mailboxlayer, and add details to Google Spreadsheet workflow on the FlowMattic canvas, with 3 steps across WPForms, Mailboxlayer, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Email addresses typed into a form are not always real. Typos, disposable inboxes and made-up entries end up in your records and only show themselves when a message bounces. This workflow checks each address with a verification service as it arrives and keeps the outcome next to the entry.

When a visitor submits a WPForms form, FlowMattic passes the entry to Mailboxlayer using Verify Single Email. Whatever Mailboxlayer returns about the address becomes data the next step can use. The final step adds a row to Google Sheets.

Neither action step is mapped in the template. After import, map the form's email field into the Mailboxlayer step, then map the form answers and the parts of the Mailboxlayer response you want into your sheet's columns. A test submission shows what the response contains. As imported, every submission gets a row, valid or not; to keep failed addresses out, place a Filter between the two action steps.

Newsletter sign-ups before an import

You move sign-ups from the sheet into your mailing tool in batches, using the Mailboxlayer columns to leave out addresses that failed the check.

Quote requests a sales team calls back

Reps working from the sheet see whether each lead's address checked out before they spend time writing a reply.

Spotting junk on a public form

A run of rows with failed checks in the sheet points to spam or bot entries reaching your WPForms form.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WPForms New Form Submission

Runs when a visitor submits a WPForms form on your site. The email field and the other answers become available for the next two steps.

  2. Step 2Action
    Mailboxlayer Verify Single Email

Checks the submitted address with Mailboxlayer's Verify Single Email action. Map the form's email field into it after import and connect your Mailboxlayer account. The response is passed to the Google Sheets step.

  3. Step 3Action
    Google Sheets Add New Row

Adds one row per submission to your spreadsheet. Map the WPForms answers and the Mailboxlayer response fields you want into the columns after a test entry.

What you need

  • FlowMatticCore
  • WPForms PluginPlugin
  • Mailboxlayer AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter between Mailboxlayer and Google Sheets that continues only when the response shows a valid address, so the sheet holds checked addresses only. Run a test first to see the value to compare against.
  • Submit twice after import, once with your real address and once with a made-up one, to see how the Mailboxlayer response differs before you build any condition.
  • Make the email field required in your WPForms form so every run has an address for Mailboxlayer to check.

Questions about this workflow

Are invalid email addresses kept out of the Google Sheet?

Not as imported. Every WPForms submission gets a row whatever the result. Add a Filter after the Mailboxlayer step to leave failed addresses out.

Whose account runs the Mailboxlayer check on each WPForms address?

Yours. The check runs through the Mailboxlayer account you connect in FlowMattic. Review your Mailboxlayer plan for how many checks it covers.

Does WPForms still save the entry if the email fails the check?

The workflow starts after the form is submitted and does not change how WPForms handles the entry. The check only affects what you send to Google Sheets.

Which Mailboxlayer results can I put in the sheet?

Any part of the response FlowMattic receives for the address. Send a test submission and look at the Mailboxlayer step's output to see what is available to map.
