The When a product purchase is completed in Groove Sales, create a new customer in Pabbly Subscriptions and add the customer to contact list on Mailchimp workflow on the FlowMattic canvas, with 3 steps across Groove Sales, Pabbly Subscriptions, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Selling through Groove Sales while billing or managing customers in Pabbly Subscriptions means two customer lists that don't match. This workflow copies each buyer into Pabbly Subscriptions and adds them to Mailchimp, so billing and email both know about the sale.

The Groove Sales Product Purchased trigger fires when a product is purchased and passes the buyer's and product's details on. It is a purchase event, not a new-customer event, so a buyer who comes back for a second product starts another run.

The Pabbly Subscriptions step creates a new customer. After import you connect your account and map the buyer's email, name and other details. The Mailchimp step then adds a member to the list you pick, or updates them if they already exist. Both steps ship unmapped.

For repeat buyers, Mailchimp just updates the existing member, while Pabbly Subscriptions may refuse to create the same customer twice. Test with a purchase from an email you have used before and look at Task History to see how each app responds.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Groove Sales Product Purchased

Starts a run for every Groove Sales purchase. The buyer's details and the product bought are passed on. Repeat purchases by the same person start new runs.

  2. Step 2Action
    Pabbly Subscriptions Create Customer

Creates a customer in Pabbly Subscriptions from the buyer's details. The step is unmapped: connect your account and map the email, name and other fields from the Groove Sales purchase.

  3. Step 3Action
    Mailchimp Add New Member

Adds the buyer to your Mailchimp list as a member, or updates them if they already exist. Choose the list and map the email address and name from the purchase; the template leaves both empty.

What you need

  • FlowMatticCore
  • Groove Sales AccountAccount
  • Pabbly Subscriptions AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Map the product name into a Mailchimp merge field or tag so you can send emails about the specific product someone bought.
  • If only one Groove Sales product should go into Pabbly Subscriptions, put a Filter between the Groove Sales trigger and the Create Customer step that checks the product.
  • To put buyers on a plan straight away, add Pabbly Subscriptions' Create Subscription action after the Create Customer step and map the customer from its result.

Questions about this workflow

What happens when a returning Groove Sales customer buys again?

The purchase starts a new run. Mailchimp updates the existing member, but Pabbly Subscriptions' Create Customer only creates customers, so it may refuse the duplicate. Open the run in Task History to see what it returned.

Do all Groove Sales products trigger this?

Yes, as imported every purchase does. Add a Filter on the product between the trigger and the Pabbly Subscriptions step if you want to limit it.

Which Mailchimp list do Groove Sales buyers join?

The one you choose in the Add New Member step after import. Nothing is selected in the template.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
