Log Razorpay payments to Sheets, alert Slack, and email a receipt

Each paid Razorpay order is added as a Google Sheets row, announced in Slack with the amount and customer email, and confirmed to the customer with a short payment-received email.

The Log Razorpay payments to Sheets, alert Slack, and email a receipt workflow on the FlowMattic canvas, with 4 steps across Razorpay, Google Sheets, Slack, Email
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

When a payment comes in through Razorpay, three things usually follow: someone records it, the team wants to know, and the customer expects a confirmation. Doing those by hand means switching between the Razorpay dashboard, a spreadsheet and your inbox. This workflow does all three each time an order is paid.

The Razorpay Order Paid trigger starts the run. First, Google Sheets adds a new row to the spreadsheet you connect; the template does not map any columns, so you choose which payment details go where. Next, a Slack message posts the currency, amount and customer email to your channel. Last, the Email step sends the customer a short note thanking them and confirming the currency and amount received.

The email is a plain confirmation, not a tax invoice. It carries no order number or itemised detail unless you add them. Razorpay's API reports amounts in the smallest currency unit, such as paise, so make a test payment and check how the amount appears in Slack and the email before customers see it.

Online courses sold through Razorpay

Each course payment is logged in a sheet for your accountant, the team sees it in Slack, and the student gets an immediate confirmation by email.

Consulting or coaching sessions paid in advance

Clients who pay through a Razorpay link get a note that their payment arrived, and you have a running list of paid sessions in Google Sheets.

Small shops on custom checkouts

If your site takes Razorpay payments outside a plugin store, this gives you the record keeping and customer confirmation a store would normally handle.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Razorpay Order Paid

Runs when Razorpay reports an order as paid. The payment details, including currency, amount and the customer's email, are passed on to the next steps.

  2. Step 2Action
    Google Sheets Add New Row

Adds a row to the Google Sheets spreadsheet you connect. Nothing is mapped in the template, so pick the sheet and map payment fields to columns after import.

  3. Step 3Action
    Slack Send Channel Message

Posts the payment's currency, amount and customer email to a Slack channel. Connect your workspace and choose the channel the finance or sales team watches.

  4. Step 4Action
    Email Send Email

Emails the customer at the address on the payment, thanking them and confirming the currency and amount received. Edit the wording to include your business name.

What you need

  • FlowMatticCore
  • Razorpay AccountAccount
  • Google Sheets AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Map the Razorpay order and payment IDs into their own columns in Google Sheets so each row can be matched to the dashboard later.
  • Add a Filter after the trigger if you only want payments above a certain amount announced in Slack, keeping the channel for the larger ones.
  • Add the customer's phone number, which Razorpay passes along with the payment, to the Google Sheets row so you can follow up on a payment without opening the dashboard.

Questions about this workflow

Is the Razorpay confirmation email a proper invoice?

No. It is a short thank-you that states the amount received. If you need invoices, issue them from your billing tool, or add an invoice link to the email body.

Will past Razorpay payments be logged?

No. Only orders paid after you switch the workflow on reach Google Sheets, Slack and the email step.

What if a Razorpay payment has no customer email?

The Email step sends to the email on the payment, so with none it has nowhere to send. Collect email at checkout, and check Task History for runs where that step failed.

Does the Slack message include the customer's name?

Not as imported. It shows the currency, amount and email. Add more payment fields to the message if your Razorpay checkout collects them.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
