Add a weekly snapshot of Fluent Support tickets to Google Sheets and post a Slack summary

Every week, FlowMattic fetches your Fluent Support tickets, posts a short Slack notice, and adds each ticket as its own row in Google Sheets, building a dated snapshot you can compare over time.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Fluent Support shows you the queue as it is right now, but questions like how many tickets were open last month need history. A weekly copy of your tickets in a spreadsheet gives you that record, and lets you build charts or pivot tables without touching the helpdesk.

A Schedule trigger starts each weekly run. The Fluent Support Get All Tickets step then fetches your tickets. Before any rows are written, a Slack step posts one fixed message: Weekly support ticket snapshot is being added to the support sheet. It's a heads-up for the team, not a summary with counts.

An Iterator then goes through the returned tickets one by one, and for each one a Google Sheets step adds a row. That step ships unmapped, so after import pick the spreadsheet and map ticket fields such as ID, subject, status and priority into your columns. Run it once by hand and compare the row count with your Fluent Support queue to see how many tickets the fetch returns.

Each week appends a fresh set of rows. Nothing is updated or removed, so the same ticket appears once per week it is returned.

Backlog trend for a support lead

A support manager charts the weekly row counts by status to see whether the open backlog is shrinking or growing month to month.

Ticket data for a quarterly review

An agency exports the sheet before each client review to show how many tickets each priority level produced.

Shared reporting without helpdesk access

A founder who doesn't log in to Fluent Support reads the snapshot sheet to understand support volume, and the Slack notice tells them when it's updated.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Schedule Every Week

Runs the workflow every week. Pick the day and time after import, for example Monday morning, so each snapshot covers a predictable point in the week.

  2. Step 2Action
    Fluent Support Get All Tickets

Fetches tickets from Fluent Support and returns them as a list for the Iterator. Check a test run to see how many tickets and which fields come back.

  3. Step 3Action
    Slack Send Channel Message

Posts a single fixed message to Slack saying the weekly ticket snapshot is being added to the support sheet. You choose the channel when connecting Slack. It runs once, before the loop.

  4. Step 4Logic
    Iterator Loop Through Array

Goes through the list of tickets from the fetch step, running the next step once for each ticket.

  5. Step 5Action
    Google Sheets Add New Row

Adds one row per ticket to your Google Sheets snapshot. The step ships unmapped: pick the spreadsheet and map fields such as ticket ID, subject, status and priority.

What you need

  • FlowMatticCore
  • Fluent Support PluginPlugin
  • Slack AccountAccount
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Include a snapshot date column, and look in the Add New Row mapping for a date value to fill it, so you can group rows by week in a pivot table.
  • Put a Filter between the Iterator and the Add New Row step that continues only for statuses you care about, such as open tickets. That status is an example to set.
  • Map the Fluent Support ticket count into the Slack message if the fetch step returns one, to turn the notice into a real summary.
  • Use a new tab for each quarter, so the sheet stays fast to open as weekly rows add up.

Questions about this workflow

Does the Slack message include ticket numbers or counts?

Not as imported. It is a fixed line saying the snapshot is being added. Edit the message text and map values from the Get All Tickets step to add figures.

Will the same Fluent Support ticket appear in the sheet more than once?

Yes, once for every week it's returned by the fetch. That's how the snapshot works: each week adds a full copy, so you can see how tickets changed.

Does this workflow change anything in Fluent Support?

No. It only reads tickets. Nothing is closed, tagged or edited in the helpdesk.

Was spending much more on Zapier and running out of tasks, now have unlimited tasks. Team is continuing to add integrations and taking feedback. Creator of company is ultra responsive to emails and helpful always.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
