Send a Slack alert when a Cal ID booking is cancelled
When someone cancels a Cal ID booking, FlowMattic posts a message to the Slack channel you choose, so your team hears about the freed time slot without opening the scheduling dashboard.

What this workflow does
A cancelled meeting changes someone's day. The host may want to reuse the slot, and a teammate may need to follow up with the guest. If the news only arrives in one inbox, the rest of the team finds out late. This workflow puts every Cal ID cancellation in front of the team in Slack.
The Cal ID trigger, Booking Cancelled, fires when a scheduled booking is cancelled. FlowMattic passes the booking data on to Slack, where Send Channel Message posts to the channel you pick. You write the message and map in the booking details you want, such as the meeting title, the time and the guest.
There is no Filter, so every cancelled booking from the connected Cal ID account produces a post. As shipped, the Slack step is meant for public channels. For a private channel or a single person, Slack has separate actions you can swap in.
Sales team freeing demo slots
A prospect cancels a demo, and the post in #sales-bookings lets another rep offer that time to the next lead on the list.
Clinic or studio front desk
Reception watches a Slack channel for cancellations and calls people on the waiting list when an appointment frees up.
Consultants tracking lost meetings
A shared channel collects every cancelled call, so you can see at the end of the week who to contact again.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Cal ID Booking CancelledFires when a scheduled booking in your connected Cal ID account is cancelled. The booking's details are passed on for the Slack message.
Slack Send Channel MessageSends your alert to the Slack channel you select. Write the text and map booking details such as the meeting name, start time and guest into it, then connect your Slack workspace.
What you need
- FlowMatticCore
- Cal ID AccountAccount
- Slack AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- If the team uses a private channel, swap in Slack's Send Private Channel Message action. To alert only the host, use Send Direct Message instead.
- Add a Filter after the trigger on the event type or host from a test run, so only cancellations for one kind of meeting reach the channel.
- Cancel a test booking after import so FlowMattic captures the real Cal ID fields, then build the Slack message from them.
Questions about this workflow
Does this post when a Cal ID booking is rescheduled?
Not as imported. The trigger is Booking Cancelled. Cal ID reschedules are a separate event, so you would need another workflow for them.
Can the cancellation alert reach a private Slack channel?
Yes, with a swap: Slack's Send Private Channel Message action handles private ones. Send Channel Message, as shipped, is meant for public channels.
Does the workflow change anything in Cal ID?
No. It only reads the cancellation and posts to Slack. The booking stays cancelled in Cal ID as before.
