Turn closed support tickets into a clean Notion knowledge entry

When an agent closes a Fluent Support ticket, an AI agent turns its subject and message into a reusable title and plain-English summary, can save it to a Notion database, and Slack is told a draft entry exists.

The Turn closed support tickets into a clean Notion knowledge entry workflow on the FlowMattic canvas, with 4 steps across Fluent Support, AI Agent, Notion, Slack
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Every solved ticket is a question another customer will ask again. Most teams mean to write those up for their help docs and rarely find the time. This workflow drafts the entry when the ticket is closed, so your docs team starts from a summary instead of a ticket thread.

The Fluent Support trigger starts a run the moment one of your agents marks a ticket closed. The AI agent receives the ticket's subject and message and works as a knowledge curator: it writes a short, reusable title and a plain-English summary of the customer's question. It then has one tool, Notion Create Database Item, and fills the item's title and description with what it wrote.

The agent sees the subject and the message passed by the trigger, which describe the customer's question. It isn't given the agent replies, so the entry records what was asked, and your team adds the answer when they review it. The agent chooses when to call its Notion tool, so check the first few runs in Task History.

A final Slack step posts "Knowledge base entry drafted from ticket" with the ticket number. Pick the Notion database and the Slack channel after import.

Help centre backlog from real questions

A plugin developer's docs writer opens the Notion database each week and turns the most common customer questions into help articles.

Internal answers for new agents

A support lead keeps a Notion database of summarised questions, so new hires can search what customers usually ask before they take tickets.

Spotting product confusion

A product manager reads the Notion entries to see which features keep generating questions, without reading full ticket threads.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
Fluent Support Agent Closes a Ticket

Runs each time a Fluent Support agent sets a ticket to closed. The ticket's number, subject and message are passed on.

  2. Step 2Action
    AI Agent Execute Agent

An AI agent on OpenAI GPT-4o reads the subject and message, writes a short reusable title and a plain-English summary of the question, and is told to save it to Notion.

  3. Step 3Tool
    Notion Create Database Item

Agent tool. Creates a Notion database item with the title and description the agent writes. Connect Notion after import and point the tool at the database you use for entries.

  4. Step 4Action
    Slack Send Channel Message

Posts "Knowledge base entry drafted from ticket" with the ticket number to the Slack channel you choose, once the agent has finished.

What you need

  • FlowMatticCore
  • Fluent Support PluginPlugin
  • AI ProviderAccount
  • Notion AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Edit the system prompt to match your docs' style, for example asking for the summary as a question and a one-paragraph context, so entries need less rewriting.
  • Map the ticket's resolution notes into the agent's input, if your trigger data includes them, so the summary can describe the answer as well as the question.
  • Put a Filter between the Fluent Support trigger and the AI agent that continues only for the products your docs cover, so tickets about others don't reach Notion or Slack.

Questions about this workflow

Does the Notion entry include how the ticket was solved?

Not as imported. The agent gets the ticket subject and message, which describe the customer's question. Add the answer during review, or map more ticket data into the agent's input.

Is a Notion item created for every closed ticket?

Each closed ticket starts a run and the agent is told to save to Notion, but it decides when to call the tool. Task History shows which runs created an item.

Will reopened and re-closed Fluent Support tickets create a second entry?

Each time an agent closes the ticket the trigger fires again, so a reopened ticket closed a second time produces another run and possibly a second Notion item.

What does my Notion database need?

Properties the tool can fill with a title and a description. Create the database before import, then select it in the Create Database Item tool and check a test run.
