Add new WPForms form entries to LearnDash groups

Each WPForms submission creates a WordPress account for the person who filled in the form, then LearnDash adds that account to the group or groups you pick.

The Add new WPForms form entries to LearnDash groups workflow on the FlowMattic canvas, with 3 steps across WPForms, WordPress, LearnDash
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

LearnDash groups give a set of learners access to the same courses, which suits cohorts, teams and client programmes. If people join through a form, someone usually has to make the account and add it to the group by hand. This workflow does both steps from one WPForms entry.

A run starts with each new submission of the form you choose. The WordPress New User step then creates an account for the submitter. It ships unmapped, so after import you map the form's email field and any name or username fields into it. The last step is LearnDash Add to Group, which puts a user into one or more groups. You map the user ID that the New User step returns and select the groups.

Every submission of the chosen form runs both steps. If the email already belongs to an account, WordPress keeps that one account instead of making a duplicate, and the step hands back that account's user ID. So a returning person can still be added to the group under their existing account. Submit a test entry with your own email before you turn the workflow on.

Cohort sign-up form

A course creator runs a WPForms application for each intake, and every applicant lands in that intake's LearnDash group with an account ready.

Company training access

An HR team shares a form with new staff; each submission makes a WordPress login and adds it to the group that holds the onboarding courses.

Workshop attendees

After a live workshop, a trainer sends attendees a form, and those who fill it in join the group with the follow-up lessons.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WPForms New Form Submission

Starts the workflow whenever the WPForms form you select receives a new entry. The submitted fields are passed on for mapping into the account and group steps.

  2. Step 2Action
    WordPress New User

Creates a WordPress user from the entry. Nothing is mapped in the template, so map the form's email and name fields after import. A known email gets no duplicate account; check Task History for the user ID the step passed on.

  3. Step 3Action
    LearnDash Add to Group

Adds the user to one or more LearnDash groups. The step ships unmapped: map the user ID that the New User step returned and choose the groups, then confirm with a test entry that the user appears in the group.

What you need

  • FlowMatticCore
  • WPForms PluginPlugin
  • LearnDash PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a dropdown for the group to the form, then put a Router between the New User step and the Add to Group step. Give each route an exactly-matches condition on one group value and its own Add to Group step for that group.
  • Put a Filter between the WPForms trigger and the New User step that checks a consent or terms checkbox, so entries without it create no account and join no group.
  • Keep the form's email field required in WPForms, since the New User step needs an email to create the account.
  • Add an Email step after the Add to Group step to send the person a note with your login page and the group's first course.

Questions about this workflow

What happens if someone who already has an account fills in the WPForms form?

They keep their single account, because WordPress makes no duplicate for a registered email. The New User step passes along that existing user ID, which Add to Group then uses; Task History shows the value.

Do I need LearnDash groups set up before importing?

Yes. Add to Group puts the user into groups that already exist in LearnDash, so create the group and attach its courses first, then select it in the step.

Which fields are already mapped for me?

None. All three steps ship unmapped, so after import you pick the form, map its email and name fields into New User, and map the returned user ID into Add to Group.

Can different forms send people to different LearnDash groups?

Yes. Duplicate the workflow for each form and pick a different group in each copy, or keep one form and place a Router between the New User step and the Add to Group step that splits on a group field.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
