Create a HubSpot CRM contact when a new ChargeOver customer is created

When a customer record is created in ChargeOver, this workflow creates a contact for that person in HubSpot CRM, so your sales and account teams see new billing customers without copying them over.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

ChargeOver holds your billing customers, while your sales and success teams often work out of HubSpot. When the two lists are kept apart, account managers miss new customers or retype their details. This workflow adds each new ChargeOver customer to HubSpot as a contact the moment the record exists.

The ChargeOver trigger fires when a new customer is created in your account. FlowMattic passes the customer data to HubSpot CRM, and the Create Contact action adds a contact from the values you mapped. Map the customer's email at least, since that is how most teams recognise a contact in HubSpot.

This HubSpot action never looks for a match before it runs, so if the person is already a contact, HubSpot may refuse the duplicate email; Task History then shows HubSpot's response for that run. Customers added to ChargeOver before you turn the workflow on are not copied.

Hand new subscribers to account managers

A SaaS company signs customers up in ChargeOver, and each one becomes a HubSpot contact the account team can start an onboarding sequence for.

Keep finance and sales on the same customers

Finance creates customers in ChargeOver when contracts are signed, and sales sees them in HubSpot without a weekly export.

Contacts for invoice-only clients

A services firm sets up billing customers in ChargeOver first, so this flow is how those clients reach HubSpot for newsletters and check-ins.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    ChargeOver Customer Created

Fires when a new customer is created in your ChargeOver account. The customer's data is passed on so you can map it into HubSpot.

  2. Step 2Action
    HubSpot CRM Create Contact

Creates a contact in HubSpot CRM from the ChargeOver customer data. Connect HubSpot, map the email and any name or company details you want, and test with one customer.

What you need

  • FlowMatticCore
  • ChargeOver AccountAccount
  • HubSpot CRM AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Slack step after HubSpot if your account team wants a message in their channel each time a ChargeOver customer is added.
  • Add a Filter after the trigger that continues only when the ChargeOver customer has an email address, so HubSpot is not sent a contact it cannot match later.
  • Create one test customer in ChargeOver after import, then open the new HubSpot contact to confirm each mapped value landed where you expected.

Questions about this workflow

What if the ChargeOver customer is already a HubSpot contact?

The action is create-only, so HubSpot may refuse a contact with an email it already has. Task History shows the response, and no existing contact is changed by this workflow.

Do changes to a ChargeOver customer reach HubSpot later?

No. The trigger fires only when a customer is created, so later edits to the billing record are not sent to HubSpot.

Does this create a deal or company in HubSpot too?

No. It creates one contact per new ChargeOver customer. Add more HubSpot steps after it if you also want a company or deal.

Which accounts does the ChargeOver to HubSpot workflow need?

Your ChargeOver account for the trigger and your HubSpot account for the contact. You connect both when you import.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.

Ease of use and terrific support from the founder. Tons of integrations and regular updates. The Flowmattic custom app is great especially if you want to integrate apps that aren't available yet inside Flowmattic.
