Email a personalized reply via Gmail after a new Funnelforms submission

When someone completes one of your Funnelforms funnels, this workflow sends them an email from your Gmail account that uses their own answers, such as their name and the option they picked.

What this workflow does

A lead who fills in a multi-step funnel form has just told you what they want. A reply that repeats their choices back to them reads like a person wrote it, while a stock confirmation reads like a receipt. This workflow sends that reply from your Gmail address as each submission arrives.

The Funnelforms trigger starts a run as soon as a visitor finishes your funnel and the data is captured. Every answer the visitor gave becomes data in FlowMattic. The Gmail Send Email action then sends a message to the address from the form, through the Gmail account you connect.

You write the subject and body yourself and drop form answers into them, for example a greeting with the first name and a line that names the service or budget they selected. The email sits in your Gmail Sent folder like any message you send by hand, so replies come back to the same inbox. Task History keeps a line for every reply that went out.

Quote funnel for a home service business

A visitor picks a service, a property size and a time frame in Funnelforms, and gets a Gmail reply that confirms those choices and says when you'll call.

Coaching discovery form

A prospect describes their goal in the funnel. Your reply quotes the goal they named and includes a link to book a first call.

Product finder for an online shop

A funnel asks about needs and budget, and the email names the product range that matches the answers the visitor gave.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Funnelforms New Form Submission

Fires when Funnelforms captures data from your form. The visitor's answers, including their email address, are passed on so you can use them in the Gmail message.

  2. Step 2Action
    Gmail Send Email

Sends an email from your connected Gmail account to the address the visitor entered. Write the subject and body, and place form answers in them to personalize each reply.

What you need

  • FlowMatticCore
  • Funnelforms AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Make the email question required in your Funnelforms funnel, so every submission reaches the Gmail step with an address to send to.
  • Add a Router after the trigger with one route per answer to a key question, each with its own Gmail step, if different choices need very different replies.
  • Send yourself a test submission after import and read the email in your inbox to check how each mapped answer reads in the final text.

Questions about this workflow

Which address does the Funnelforms reply come from?

It goes out as the Gmail account linked to this workflow's Send Email step. The message is sent as that account and appears in its Sent folder, so the lead's answer comes back to you there.

Can the Gmail email include answers from any Funnelforms question?

Yes. Every answer captured by the trigger is available to map. Run a test submission to see the full list, then place the ones you need in the subject or body.

What happens if a visitor leaves the email question blank?

The Gmail step has no address to send to, and Task History shows the error for that run. Making the email field required in Funnelforms avoids this.

Does every Funnelforms submission get an email?

Yes, as imported. Each submission runs the Gmail step once. Add a Filter after the trigger if some submissions, such as test entries, shouldn't get a reply.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
