What this workflow does

Event organisers who take subscriptions or deposits through RedPodium often want to send a payment note of their own: club branding, a personal sign-off, and a reply address that reaches a real person. Writing those emails by hand after each payment takes time. This workflow sends one for every processed payment.

The RedPodium trigger fires when a subscription or deposit gets processed and passes the payment data on. Next, your own Gmail account sends the receipt. You map the payer's email address as the recipient and write the subject and body, pulling in values such as the name and amount from the RedPodium data.

The email is a message you compose, not a document RedPodium generates, so include the details your payers need. Each processed payment sends one email, and Task History keeps a copy of every run.

Running club memberships

A club takes annual subscriptions in RedPodium. Each member gets a thank-you receipt from the club secretary's Gmail with the amount and season.

Race entry deposits

An event organiser takes deposits for a race. Each participant receives an email confirming the deposit was processed and what is still due.

Training camp sign-ups

Coaches running a camp send a personal confirmation for each deposit, so parents have a record of the payment.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    RedPodium Subscription / Deposit Processed

Runs when a subscription or deposit is processed in RedPodium. The payment details, including the payer's email when it is present, are passed on for the email.

  2. Step 2Action
    Gmail Send Email

Sends your receipt email through the Gmail account you connect. Map the payer's address as the recipient and write the subject and body with the RedPodium payment details.

What you need

  • FlowMatticCore
  • RedPodium AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Process one test subscription or deposit after import so FlowMattic captures the RedPodium fields, then build the receipt from them.
  • Add a Router with one route per payment type, if RedPodium's data tells subscriptions and deposits apart, so each gets its own wording.
  • Add a Google Sheets step after Gmail to keep a running log of every receipt you send.

Questions about this workflow

Does RedPodium send its own receipt as well?

This workflow doesn't change RedPodium's settings. Check RedPodium's own emails if you want only one receipt to reach each payer.

Which payment details can go in the Gmail receipt?

The values RedPodium sends with the processed subscription or deposit. Run a test and look at the captured fields before writing the email.

Which address does the receipt come from?

From whichever Gmail address you authorised for this workflow. Replies from payers go to that inbox.

An excellent replacement to Zapier with unlimited tasks and full control over data. Customer service is fantastic! Have had hands-on support from owner who is ultra helpful and they have even been integrating new SAAS options continuously.

Brad

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
