SureForms Twilio

2 steps Setup ~5 min Used on 995 sites Free to import

The Get notified of SureForms submissions with a Twilio SMS message workflow on the FlowMattic canvas, with 2 steps across SureForms, Twilio
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Email notifications are easy to miss when you are on site with a client, driving, or away from your desk. If a new enquiry matters enough to act on quickly, a text to your phone is harder to overlook. This workflow sends one for every SureForms submission.

The SureForms trigger runs when a visitor submits a form, and each answer from the entry becomes available to the next step. The Twilio step then sends an SMS from your Twilio number to the phone number you set. You write the message text and pull in answers such as the person's name, their phone number or the service they asked about.

Each submission sends one text, so a form that gets a lot of traffic will send a lot of messages through your Twilio account. SureForms keeps its own email notifications and confirmation behaviour unchanged. Task History shows each run and the response Twilio returned, which helps if a text does not arrive.

Callback requests for a tradesperson

A plumber's SureForms callback form texts the owner the caller's name and number, so they can ring back between jobs without checking email.

Booking enquiries for a small studio

A photography studio gets a text with the requested date from each enquiry form, so the owner sees new requests while out on a shoot.

Out-of-hours support for a landlord

Tenants report a problem through a SureForms form, and the property manager receives an SMS with the address and the issue they described.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    SureForms New Form Submission

Runs whenever a visitor submits a SureForms form on your site. The answers from that entry are passed along so you can use them in the text.

  2. Step 2Action
    Twilio Send SMS

Sends an SMS through your Twilio account to the number you enter. Connect Twilio, then write the message with SureForms answers mapped into it and send a test entry to check it.

What you need

  • FlowMatticCore
  • SureForms PluginPlugin
  • Twilio AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Keep the SMS short and lead with the answer you act on first, such as the caller's phone number, so the text reads well on a lock screen.
  • Add a Filter after the trigger so only urgent entries send a text, for example when a priority dropdown is set to High.
  • To alert two people, add a second Twilio Send SMS step with the other phone number instead of relying on one person to pass it on.

Questions about this workflow

Do I need a Twilio phone number to get SureForms alerts?

Yes. The SMS is sent from a Twilio number on your account, so you need a Twilio account with a number that can send messages to your country.

Can the text go to the person who filled in the SureForms form?

It can. Map the phone field from the submission into the recipient number instead of typing your own. Make sure the person agreed to receive texts before you do this.

What happens if Twilio can't deliver the SMS?

The run still completes, and Task History shows the error Twilio returned for that step. SureForms keeps the entry either way, so nothing is lost on your site.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
