Log every new Recurly subscription in a Google Sheets spreadsheet
Every time a subscription is created in Recurly, this workflow adds a row to a Google Sheets spreadsheet with the subscription details you map, giving you a running list of sign-ups outside Recurly.

What this workflow does
Recurly is where your billing lives, but plenty of people who need to see new subscriptions never log in to it. Your team can share, sort and chart a Google Sheet far more freely. This workflow writes each new Recurly subscription to Google Sheets as it is created, so nobody has to export it.
The Recurly trigger fires when a subscription is created in your Recurly site. FlowMattic receives the subscription data from that event and passes it to Google Sheets. The Add New Row action then writes the fields you mapped into a new row of the spreadsheet you pick.
Only the creation of a subscription starts this workflow. Renewals, updates and reactivations have their own Recurly triggers in FlowMattic and are not logged unless you add them. Each run is listed in Task History with the data it handled.
Weekly sign-up review
The growth team opens one shared sheet each Monday to see which plans new subscribers chose during the week, without asking someone with Recurly access to export it.
Onboarding hand-off
Customer success works through new rows in the sheet to welcome each subscriber and mark the call as done in a column of their own.
Charts for a board update
Pivot tables built on the sheet show new subscriptions by plan or by month, fed by the rows this workflow keeps adding.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Recurly Subscription CreatedFires when a new subscription is created in Recurly. The subscription data from that event can be mapped into the Google Sheets row.
Google Sheets Add New RowAppends one row per new subscription to the Google Sheets spreadsheet you select. Map each column to a subscription detail from the trigger and connect your Google account on import.
What you need
- FlowMatticCore
- Recurly AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Create a test subscription in a Recurly sandbox or test site after import so FlowMattic captures the event, then map the fields to your sheet's columns.
- Add a Filter after the trigger if you only want certain plans in the sheet, for example a plan code equal to your annual plan.
- Track cancellations or changes as well by copying the workflow and switching the trigger to Recurly's Subscription Updated event, writing to a second tab.
Questions about this workflow
Are Recurly renewals added to the sheet as well?
No. The trigger is Subscription Created, so renewals do not start this workflow. FlowMattic has a separate Subscription Renewed trigger if you want those logged too.
Does the workflow update a row when a Recurly subscription changes?
Not as imported. It only adds a row when a subscription is created. Changes later on are not written back to the sheet.
Will existing Recurly subscriptions be imported?
No. Only subscriptions created after you turn on the workflow are logged. Export older ones from Recurly if you want them in the sheet.
Which subscription details can go into the Google Sheets row?
Any field the Recurly event sends to FlowMattic. Run a test after import to see the full list before you map your columns.
