Log every new Viterbit application in a Google Sheets hiring tracker
Each new application in Viterbit is added as a row in Google Sheets, giving your hiring team a tracker it can sort, share and comment on without needing a Viterbit login.

What this workflow does
Hiring managers, interviewers and founders often want to see who has applied, but not everyone has access to your recruiting software. A shared spreadsheet is the easiest view to hand out. This workflow fills one with every application Viterbit receives.
The Viterbit trigger fires on the Application Created event. FlowMattic then adds a new row in Google Sheets for that application. The row step ships unmapped, so you connect your Google account, pick the spreadsheet and choose which application details go into each column after import.
Each new application becomes one row, because nothing filters them. The workflow doesn't watch later changes: when a candidate moves stage or is hired in Viterbit, the row keeps what was sent when the application was created. Use the sheet as a log of incoming applications and keep pipeline decisions in Viterbit.
Hiring manager without a Viterbit seat
The engineering lead reviews new applicants for their open role in a shared Google Sheet instead of asking recruiting for updates.
Weekly hiring report
The sheet lists every application in order, so you can count applications per role each week with a pivot table.
Interview panel notes
Interviewers add comments in extra columns next to each applicant's row, alongside the details copied from Viterbit.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Viterbit Application CreatedStarts the workflow when a new application is created in Viterbit. The application's details become available to map into the sheet. Connect Viterbit on import.
Google Sheets Add New RowAdds a row to Google Sheets for the application. Nothing is mapped yet, so connect your Google account, choose the spreadsheet and match the application details to columns.
What you need
- FlowMatticCore
- Viterbit AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Create a test application in Viterbit after import so FlowMattic has real application data to map into your columns.
- Add columns for the team's own notes, such as interview date or rating, and leave them out of the mapping so the workflow doesn't fill them.
- Add a Filter after the trigger if this tracker is for one role only, using a field from the test application that names the job.
Questions about this workflow
Does the Google Sheet update when a Viterbit candidate changes stage?
No. The trigger is Application Created, so each row holds the data from when the application arrived. Stage changes stay in Viterbit.
Which Viterbit application details go into the sheet?
The ones you map. The Add New Row step is empty in the template, so you decide which details fill each column.
Are applications received in Viterbit before import added to the sheet?
No. Only applications created after the workflow is switched on are added.
