Log new Shiksha student leads in a Google Sheets spreadsheet
Every new student lead Shiksha captures for your institution is added to a Google Sheets spreadsheet as its own row, so your admissions team has one shared list of enquiries to call back.

What this workflow does
Student enquiries from an education portal tend to sit in a portal inbox that only one or two people can log in to. Counsellors who make the calls need the names and numbers somewhere they can all see and update. This workflow copies each Shiksha lead into a Google Sheets spreadsheet the moment Shiksha captures it.
The Shiksha trigger, New Leads, fires when a new lead is captured. The lead's details become data you can map in FlowMattic. The Google Sheets step then writes those details into the next empty row of the sheet you choose, with each value in the column you mapped it to.
Every lead adds a row, because nothing filters them on the way. Your team can add their own columns for call status or notes next to the mapped ones. Task History records each run, so you can check a lead that did not appear.
Admissions call list for counsellors
Counsellors open the shared sheet each morning, call the newest Shiksha enquiries first and type the outcome in a status column beside each student.
Comparing interest across courses
Map the course a student enquired about into its own column, then sort or count the sheet to see which programmes draw the most Shiksha leads.
Sharing leads with a partner office
A regional office without portal access works from the same Google Sheet, so every enquiry reaches the people who handle that city.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Shiksha New LeadsFires when Shiksha captures a new lead for your account. The student's enquiry details are passed on for mapping into the spreadsheet row.
Google Sheets Add New RowPlaces the lead in the next free row of the Google Sheets file you connect. Give the sheet headers such as name, phone, email and course, map each one to a Shiksha value, and sign in to Google on import.
What you need
- FlowMatticCore
- Shiksha AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger that continues only for one course or city if this sheet belongs to a single team. Leads that fail the condition add no row.
- Use a Router with one route per programme, each with its own Google Sheets step and its own sheet, when different counsellors handle different courses.
- Capture one real lead after import, then open the Google Sheets step to see exactly which details Shiksha sends before you map the columns.
Questions about this workflow
Which Shiksha lead details end up in the sheet?
The ones the New Leads trigger sends and you map to columns. Look at a captured test lead in the Google Sheets step to see the available details, then pick the ones your team needs.
Are leads Shiksha captured before I turned this on added?
No. Only leads captured after the workflow is active start a run. Earlier enquiries need to be added to the sheet by hand.
Can two counsellors edit the Shiksha lead sheet while it fills?
Yes. It is a normal Google Sheet, so anyone you share it with can add notes. Keep the header row and mapped columns as they are so new rows still land correctly.
