What this workflow does
Sage Intacct holds the current state of each employee record, but people outside accounting often need to see what changed and when without logging in. A shared spreadsheet that grows with every change gives them that view. This workflow writes it for you.
The Sage Intacct trigger, Employee Changes, fires when an employee is created or updated. FlowMattic takes the employee data that arrives with the event and hands it to Google Sheets, where Add New Row writes it to the spreadsheet and sheet you select. You decide which employee fields go into which columns.
Because the action always adds a row, the sheet becomes a history rather than a mirror. One employee updated three times appears on three rows, each holding the values sent with that change. Add a timestamp column so you can read the order of events. Task History keeps a record of each run in case a row looks wrong.
Audit trail for payroll reviews
Finance compares the change log against payroll runs and sees which employee records were edited between two pay periods.
New hire list for onboarding
Office managers read the sheet to spot employees just created in Sage Intacct and prepare equipment and accounts for them.
Read-only view for department heads
Managers who have no Sage Intacct access follow employee record changes in a shared spreadsheet with view permission only.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Sage Intacct Employee ChangesFires when an employee is created or updated in your Sage Intacct company. The employee data from the event becomes available to map into the Google Sheets step.
Google Sheets Add New RowAdds a new row to the Google Sheets spreadsheet you choose for every employee change. Connect your Google account, pick the sheet, and map employee fields to its columns.
What you need
- FlowMatticCore
- Sage Intacct AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a column that holds the date and time of the run, so rows for the same employee can be read in order.
- If you only care about new hires, add a Filter after the trigger that checks a field in the event data showing whether the record is new. Run a test first to see which field that is.
- Keep sensitive values such as pay data out of the sheet by simply not mapping them. Only the columns you map are written.
Questions about this workflow
Does this update the existing row for an employee in Google Sheets?
No. The step is Add New Row, so every change in Sage Intacct adds another row. If you want one row per employee, replace it with a Google Sheets step that updates a row you look up first.
Are employees that already exist in Sage Intacct copied into the sheet?
Not when you import. An existing employee appears only once their record is updated after the workflow is on, since that is when the trigger fires.
Which employee fields can I put in the sheet?
Whatever data Sage Intacct sends with the event. Make a change to a test employee after import, then look at the captured data in the trigger step to see the available fields.
Who can see the Sage Intacct data once it is in Google Sheets?
Anyone you share the spreadsheet with. Set sharing in Google Sheets to match who is allowed to see employee details.
