Send emails via Gmail for new JotForm submissions

Each new Jotform submission sends an email through your Gmail account, with the answers placed where you want them, so you or the person who filled in the form gets a message written your way.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Jotform collects answers well, but you may want a message that looks like it came from you rather than from a form service, or one that goes to a colleague with only the answers they need. This workflow sends that message through Gmail for every new submission.

When someone submits your Jotform form, the trigger passes each answer to FlowMattic. Next, Gmail delivers your message to whichever address you put in the recipient spot. You write the subject and body and drop in answers from the form. The recipient can be a fixed address, such as your sales inbox, or the email the person typed into the form.

Because the email leaves from your connected Gmail account, it sits in your Sent folder and replies come straight back to you. Jotform's own notifications keep working unless you turn them off in Jotform. Task History lists each run and what was sent.

A personal reply to every enquiry

A prospect fills in your Jotform contact form and receives an email from your own Gmail address that thanks them by name and repeats what they asked.

Routing answers to a colleague

Booking requests from a Jotform form go to your operations manager's inbox as a short email containing only the date, time and contact details.

Sending a link after a sign-up

People who register through Jotform get an email from you with the link to the resource or session they signed up for.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Jotform New Form Submission

Starts as soon as a respondent completes and submits the Jotform form. Each answer becomes data you can place in the Gmail message.

  2. Step 2Action
    Gmail Send Email

Sends one email per submission through the Gmail account you connect. Set the recipient, write the subject and body, and map Jotform answers into them, including the respondent's email if you are replying to them.

What you need

  • FlowMatticCore
  • Jotform AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter after the Jotform trigger so only submissions with a certain answer, such as a request type of Quote, send the Gmail message.
  • Make the email question required in Jotform if the message goes to the respondent, so every submission carries an address to send to.
  • Submit a test entry after import so FlowMattic captures the form's answers, then map them into the Gmail subject and body before switching on.

Questions about this workflow

Does Jotform still send its own notification emails?

Yes, unless you turn them off in Jotform. This workflow sends a separate email through Gmail.

Can the Gmail message go to the person who filled in the Jotform?

Yes. Map the email answer from the form into the recipient of the Gmail step. Test it with your own address first.

Can I send to several people for each Jotform submission?

The step sends to the recipient you set. To email a second person, add another Gmail step after the first with its own recipient and message.

Which Gmail account sends the Jotform emails?

The one you connect when you import the workflow. Use a shared team address if replies should reach more than one person.
