What this workflow does
TuCalendi takes bookings for you, but its data stays inside TuCalendi. When you want to count appointments by week, share the list with someone who has no TuCalendi access, or keep your own record, a spreadsheet is the simpler place to work. This workflow writes each new booking to Google Sheets as it comes in.
The TuCalendi trigger runs every time a booking is created. FlowMattic takes the booking data from that event and passes it to Google Sheets, which adds one row to the spreadsheet and sheet you pick. You choose which booking value goes into each column when you map the step.
Each booking gives you one new row, and nothing in the sheet is changed after that. A cancelled or moved booking is not written back to the row. Task History shows every run, with the data TuCalendi sent and the reply from Google Sheets.
Consultant tracking client sessions
Every session a client books in TuCalendi lands in a sheet, which you sort by date at the end of the month to prepare invoices.
Front desk sharing the day's list
Reception staff without a TuCalendi login read the shared Google Sheet to see who has booked and when.
Weekly booking report
Point a chart or pivot table at the sheet so the number of bookings per week updates as new rows arrive.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
TuCalendi New Booking CreatedFires each time someone books with you in TuCalendi. The booking's data is passed on so you can map it into the spreadsheet.
Google Sheets Add New RowAdds a row to the Google Sheets spreadsheet you choose for each booking. Connect your Google account, set up column headers first, then map the TuCalendi values to them.
What you need
- FlowMatticCore
- TuCalendi AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Put header names in the first row of the sheet before you map the step, so each column shows up by name when you match it to a TuCalendi value.
- Make a test booking after import. FlowMattic records the booking data from it, and you can check in Task History which values TuCalendi sends.
- To log only some bookings, add a Filter after the trigger with a condition on a TuCalendi value, such as the service or event type you want in this sheet.
Questions about this workflow
Does a cancelled TuCalendi booking remove its row?
No. The workflow only adds rows for new bookings. Cancellations and changes are not sent to the sheet, so you update those rows by hand.
Will past TuCalendi bookings be added to the sheet?
No. The trigger fires on bookings created after the workflow is turned on. Earlier bookings would need to be exported from TuCalendi separately.
Can I send TuCalendi bookings to more than one Google Sheet?
Yes. Add a second Google Sheets step after the first one and point it at another spreadsheet. Each booking then adds a row to both.
