When a new conversation is created in ThriveDesk, check if the email is valid with Bounceless, and add new member to list in Mailchimp

Each new ThriveDesk conversation sends the customer’s email address to Bounceless for a check, then adds that person to a Mailchimp audience, with the verification result available to map alongside them.

The When a new conversation is created in ThriveDesk, check if the email is valid with Bounceless, and add new member to list in Mailchimp workflow on the FlowMattic canvas, with 3 steps across ThriveDesk, Bounceless, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

People who write to your help desk have already given you a working reason to stay in touch. If you also want them on your mailing list, copying each address from ThriveDesk into Mailchimp is slow, and a mistyped address only shows up later as a bounce. This workflow handles the copy and runs a check on the address first.

A new conversation in ThriveDesk starts the run. FlowMattic passes the customer's email to Bounceless with its Verify Email action, and the response becomes data you can map in the next step. Mailchimp then adds the person to the audience you pick, or updates them when they are already on it.

There is no Filter between the check and Mailchimp, so every conversation reaches the Mailchimp step whatever Bounceless returns. You can store the result in a merge field, or add a Filter so only addresses that pass are added. Make sure your support contacts have agreed to marketing email before you turn this on.

Software trial support

Trial users who open a ThriveDesk conversation join a Mailchimp audience you use for product update emails, with the Bounceless result stored next to each address.

Agency client support

A web agency handles client questions in ThriveDesk and sends a monthly Mailchimp update to the same people. New contacts are added to that audience as they first write in.

Keeping a support contact audience

A separate Mailchimp audience holds everyone who has contacted support, so you can email them about service changes or outages.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    ThriveDesk New Conversation Created

Runs when a new conversation is created in your ThriveDesk inbox. The conversation and customer details, including the email address, become available to map in later steps.

  2. Step 2Action
    Bounceless Verify Email

Sends the customer's email address to Bounceless to verify it. Map the ThriveDesk email field here and connect your Bounceless account. The response can be used in the Mailchimp step.

  3. Step 3Action
    Mailchimp Add New Member

Adds the customer to the Mailchimp audience you choose, or updates the member if the address is already there. Map the email, and optionally a merge field for the Bounceless result.

What you need

  • FlowMatticCore
  • ThriveDesk AccountAccount
  • Bounceless AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter between Bounceless and Mailchimp on the verification result, so only addresses Bounceless reports as valid are added. Run a test first to see the exact value it returns.
  • Repeat customers open new conversations too. Mailchimp's Add New Member updates the existing member, so each address stays on the audience once, but the Bounceless check runs again for every conversation.
  • Create a text merge field in Mailchimp for the verification status and map the Bounceless response to it, so you can segment by it later.

Questions about this workflow

Does every ThriveDesk conversation end up in Mailchimp?

Yes, as imported. The Bounceless result is only passed along, not checked, so the Mailchimp step runs for every new conversation. Add a Filter after Bounceless to hold back addresses that fail.

What if the customer is already a Mailchimp member?

Add New Member adds the address to the audience or updates the member when it already exists, so the person isn't added twice.

Do replies in an existing ThriveDesk conversation start a run?

No. The trigger is New Conversation Created, so only new conversations start a run. Replies, notes and status changes have their own ThriveDesk triggers.

Which accounts do I need for this ThriveDesk workflow?

A ThriveDesk account, a Bounceless account for the verification step, and a Mailchimp account with the audience you want to fill. You connect each one in FlowMattic after import.

It's very straightforward, has a lot integrations and they work well. It is one thing to 'integrate' new external software, but integrating it well, with lots of options is where FlowMattic shines.
