What this workflow does
When a sign-up form on your WordPress site is the start of a paid relationship, the person usually has to be entered twice more, once for billing and once for email. This workflow takes each Gravity Forms entry and creates the customer in Pabbly Subscriptions, then puts them on a Mailchimp list, so billing and email start from the same details.
The Gravity Forms trigger fires on each new form submission and passes on the fields. The Pabbly Subscriptions Create Customer step adds a new customer from the name, email and any other details you map. It only creates customers, so check with a test entry how Pabbly responds to an email it already has.
The last step uses Mailchimp Add New Member. FlowMattic describes it as adding a new member to the list, or updating them if they already exist, so returning customers don't end up as duplicates on your list.
None of this is mapped when you import it. Pick the form, map the email and name into the Pabbly and Mailchimp steps, and choose the Mailchimp list. Run a test submission and check Task History for each app's response.
Registration form for a paid service
A coaching business takes sign-ups on a Gravity Forms page, creates the client in Pabbly Subscriptions for billing, and adds them to the Mailchimp list that sends session reminders.
Membership applications
A club collects applications with Gravity Forms, sets each applicant up as a Pabbly customer ready for a subscription, and adds them to its member newsletter.
Quote form that becomes a customer record
An agency's project enquiry form creates a Pabbly customer so invoicing can start later, and the Mailchimp list keeps the prospect on the agency's monthly update.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Gravity Forms New Form SubmissionFires each time someone submits your Gravity Forms form. The entry's fields, such as name, email and phone, are available to map into Pabbly and Mailchimp.
Pabbly Subscriptions Create CustomerCreates a new customer in Pabbly Subscriptions from the form entry. The template leaves it unmapped; map the person's name and email after import.
Mailchimp Add New MemberPuts the person on your Mailchimp list as a new member, or refreshes the record of an existing one. Pick the list and map the email from Gravity Forms, plus the name if you want it.
What you need
- FlowMatticCore
- Gravity Forms PluginPlugin
- Pabbly Subscriptions AccountAccount
- Mailchimp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a consent checkbox to the form and put a Filter between the Pabbly Subscriptions step and the Mailchimp step that continues only when it is ticked. Everyone still becomes a Pabbly customer, and only people who agreed join the list.
- Map the phone and company fields into the Pabbly customer too, so billing has full contact details.
- Use a Mailchimp tag or a separate list for customers created this way, if you want to email them differently from general subscribers.
Questions about this workflow
What if the email is already a Pabbly Subscriptions customer?
Create Customer only creates, so Pabbly may refuse or duplicate an email it already holds. Try a test entry with a known customer's email and check Task History for Pabbly's response.
Is someone already on my Mailchimp list added twice?
No. Add New Member updates an existing member instead of adding a second one, so returning customers keep a single Mailchimp record.
Does this workflow start a Pabbly subscription or take payment?
No. It only creates the customer record in Pabbly Subscriptions. Subscriptions, plans and payments are set up separately.
Which Gravity Forms fields go to Pabbly and Mailchimp?
The ones you map. Both action steps are empty as imported, so match the form's name and email fields to each step after you choose the form.
