What this workflow does
Paperform is often where people first raise their hand: a lead magnet download, an event registration, an enquiry. If adding those people to Mailchimp means exporting responses, your list is always behind. This workflow sends each Paperform submission straight to a Mailchimp audience.
The Paperform trigger fires whenever a new entry is submitted on the form, and passes on the answers. Partial submissions are a separate Paperform trigger in FlowMattic, so only finished entries start this workflow.
The Mailchimp Add New Member step adds the respondent to the list you choose. If the email is already a member, it updates that member instead of creating a second one, so people who fill in several of your forms keep one record. The step ships unmapped: after import, pick the audience and map the email answer, plus the name or any merge fields you use.
Every submission runs the step, including test entries, so delete those from Mailchimp after you check that the mapping works. Task History shows what Mailchimp returned for each run.
Lead magnet sign-ups
A marketing consultant offers a checklist through a Paperform page and adds every person who requests it to the Mailchimp audience that gets her weekly newsletter.
Event registrations on an email list
A meetup organiser registers attendees with Paperform and keeps them in Mailchimp to send the venue details and the next event's date.
Customer surveys that grow the list
A software company's Paperform feedback survey asks for an email, and respondents are added to a Mailchimp audience used for product update emails.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Paperform New Form SubmissionFires whenever a new entry is submitted on your Paperform form. The respondent's answers, such as name and email, are handed to Mailchimp. Unfinished entries don't trigger it.
Mailchimp Add New MemberAdds the respondent to your Mailchimp audience, or updates them if the email is already there. Choose the audience and map the email answer, and the name if you collect it, after import.
What you need
- FlowMatticCore
- Paperform AccountAccount
- Mailchimp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a marketing consent question to your Paperform form and put a Filter between the Paperform trigger and the Mailchimp step that continues only when it is ticked. The question is yours to choose.
- Map the name answer into Mailchimp's first-name merge field so your campaigns can greet subscribers by name.
- Use a tag or a separate audience in Mailchimp for each Paperform form, so you can tell where subscribers came from.
Questions about this workflow
What if the Paperform respondent is already on my Mailchimp list?
Mailchimp keeps one record for that email, because Add New Member updates the member who is already there. The details you map overwrite what Mailchimp held for that email.
Do partial Paperform submissions reach Mailchimp?
No. This template uses the New Form Submission trigger. FlowMattic's Paperform integration has a separate Partial Submission trigger if you want those too.
Which Paperform answers go into Mailchimp?
Only the ones you map. The template leaves the Mailchimp step empty, so after import you choose the audience and map at least the email answer.
Does this send a welcome email from Mailchimp?
Not by itself, since this template stops once the person is on the list. Set up a Mailchimp automation on that audience if you want new subscribers to get a welcome email.
