What this workflow does

Some businesses sell and invoice from Perfex CRM but run delivery in Flowlu. Re-creating each project by hand in the second tool is slow and easy to forget, and names drift apart over time. This workflow adds a Flowlu project as soon as one is created in Perfex.

The Perfex CRM New Project trigger fires when a project is created in Perfex. The project's details are then available to map; create a test project to see exactly which values Perfex sends, such as the project name, customer and dates.

The Flowlu Create Project step adds a new project. It ships unmapped: after import you connect Flowlu and map the Perfex values into the project, at minimum its name. Keeping the Perfex project name, or its ID, in the Flowlu project makes it easy to match the two later.

Only new projects are copied. Edits made later in Perfex, such as a changed deadline or status, don't start a run and won't reach Flowlu, and the workflow doesn't check whether Flowlu already holds a project with the same name. Use Task History to see each run and the response Flowlu gave.

Do changes to a Perfex CRM project update the Flowlu project?

No. The New Project trigger fires only when a project is created. Later edits in Perfex don't start a run, and FlowMattic's Perfex integration has no project-updated trigger, so keep the Flowlu project current yourself.

What if a project with the same name already exists in Flowlu?

The workflow doesn't look in Flowlu first, so it asks Flowlu to create a new project every time. Check Task History if you think a duplicate was made.
