The When an Oracle Commerce order is submitted, record it in Airtable and confirm with the buyer via Gmail workflow on the FlowMattic canvas, with 3 steps across Oracle Commerce, Airtable, Gmail
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

An Oracle Commerce store may already send its own confirmations, but some teams want a simpler order log and a personal note from a real inbox. Doing both by hand for every order doesn't scale. This workflow records each submitted order in Airtable and emails the buyer through Gmail.

The Oracle Commerce trigger is Order Submit, which fires when an order was successfully submitted by a customer or an agent. FlowMattic then runs Create Record in Airtable, adding a new record to the base and table you choose with the order fields you map. Last, Gmail runs Send Email to the buyer's address from the order, with a subject and body you write.

Orders placed by an agent on a customer's behalf also start a run, so the buyer still gets the email. Each run is logged in Task History with the result of both steps.

B2B order desk

Account managers track every submitted Oracle Commerce order in an Airtable base and buyers get a note from the account manager's own Gmail.

Fulfilment tracking outside the store

Your warehouse team works from Airtable views of new orders, adding pick and ship status columns of their own.

Agent-placed phone orders

When a sales agent submits an order for a caller, the buyer receives an email confirming what was ordered.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Oracle Commerce Order Submit

Fires when an order is successfully submitted in Oracle Commerce by a customer or an agent. The order and buyer data become available to the next two steps. Connect Oracle Commerce on import.

  2. Step 2Action
    Airtable Create Record

Creates one Airtable record per submitted order in the base and table you pick. Map the Oracle Commerce order fields, such as the order ID and total, to your columns and connect your Airtable account.

  3. Step 3Action
    Gmail Send Email

Emails the buyer from the Gmail account you connect. Map the buyer's email from the order, write the subject and message with the order details, and connect Gmail.

What you need

  • FlowMatticCore
  • Oracle Commerce AccountAccount
  • Airtable AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Place a test order after import so FlowMattic captures the Oracle Commerce fields, then map them in Airtable and Gmail. Send the test email to yourself first.
  • Add a Filter after the trigger if only some orders should be logged and emailed, for example orders above a set total. The Filter compares whole numbers, so cents are ignored.
  • Check whether Oracle Commerce already emails a confirmation, and word the Gmail message so the buyer isn't confused by two similar emails.

Questions about this workflow

Does Oracle Commerce still send its own order confirmation?

This workflow doesn't change your store's email settings. Whatever Oracle Commerce sends today keeps going out, and the Gmail email is in addition to it.

Which Airtable columns do I need for Oracle Commerce orders?

Any you want to keep. Create them in your table first, then map the matching order fields in the Create Record step.

What if the Gmail step fails for an Oracle Commerce order?

The Airtable record is already created by then. Task History shows the Gmail error on that run, so you can resend the email by hand.

Can the Gmail email include an invoice PDF from the order?

Not as imported. This Gmail step carries only the message you compose. Add order details or a link to the order into the message instead.
