What this workflow does
Appointlet handles the booking, but a list of who booked what lives inside the Appointlet dashboard. If you report on bookings, share them with people outside the scheduling tool, or simply want a record you can sort, a spreadsheet is easier to work with. This workflow builds that sheet as bookings come in.
The Appointlet trigger uses the Attendee Scheduled event. It fires when an attendee schedules a meeting, and also when an attendee joins a meeting that already exists, as in a group session. The attendee and meeting data from that event is passed to Google Sheets, which adds a new row to the spreadsheet and sheet you select, with each column filled from the field you mapped to it.
Every Attendee Scheduled event adds one row. Cancellations, reschedules and approvals are separate Appointlet events, and this template does not listen for them, so the sheet is a log of bookings rather than a live calendar. Task History lists each run if you need to check what was written.
Consultation log for a coaching practice
A coach takes discovery calls through Appointlet. Each booking becomes a row, and the sheet shows at a glance how many calls came in each week.
Group workshop sign-ups
Several people join the same Appointlet session. Each attendee who joins gets a row, so the sheet doubles as the attendee list for that workshop.
Sharing bookings with an assistant
An assistant who has no Appointlet login reads the shared Google Sheet to prepare for the day's meetings and follow up afterwards.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Appointlet Attendee ScheduledFires when an attendee schedules a meeting in Appointlet or joins an existing one. The attendee and meeting details from that booking become available for mapping in the next step.
Google Sheets Add New RowAdds one row to the Google Sheets spreadsheet and sheet you choose. Map the Appointlet booking fields to your columns and connect your Google account when you import.
What you need
- FlowMatticCore
- Appointlet AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make one test booking in Appointlet after import, so FlowMattic captures the real booking fields before you map them to the sheet's columns.
- Want cancellations on record too? Import a second copy of this workflow, switch its trigger to Appointlet's Attendee Cancelled event, and point it at a separate tab.
- Add a Date/Time Formatter step before Google Sheets if you want the meeting time written in a format or time zone that suits your team.
Questions about this workflow
Does a cancelled Appointlet booking remove its row?
No. This workflow only listens for Attendee Scheduled, so it adds rows and never edits or deletes them. A cancellation leaves the original row in place.
What happens with group meetings in Appointlet?
The trigger also fires when an attendee joins an existing meeting, so each person who joins adds their own row.
Are earlier Appointlet bookings copied into the sheet?
No. The trigger reacts to Appointlet bookings that arrive while the workflow is active. Bookings made before that are not added to the sheet.
Should my Appointlet booking sheet have column headers before import?
It helps. Add a header row with the column names you want, then map an Appointlet field to each column in the Add New Row step.
