What this workflow does
Fluent Forms collects the enquiries and Groundhogg handles your follow-up emails, but the two plugins don't share contacts out of the box. Without a link, each new person means typing their details into Groundhogg yourself. This workflow takes each submission and adds the person to Groundhogg.
The Fluent Forms trigger runs when a new form submission is received on your WordPress site. FlowMattic hands the submitted fields to Groundhogg, where Create New Contact adds a contact from the values you map, such as the email address and name.
All three tools, Fluent Forms, Groundhogg and FlowMattic, run on the same WordPress site, so the data never leaves it. Every submission runs the workflow, since nothing filters it. Fluent Forms still stores its own entry as usual, and Task History shows what each run sent to Groundhogg.
Contact page enquiries for a local service
A plumber's contact form on Fluent Forms adds each enquirer to Groundhogg, where a follow-up email or a call reminder can be set up.
Free consultation requests
A coach's booking request form creates Groundhogg contacts, so every person who asked for a consultation is on the list for later offers.
Download forms for a guide
Visitors give their name and email for a PDF guide. Each one becomes a Groundhogg contact you can email when the next guide is ready.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Fluent Forms New Form SubmissionStarts a run each time a Fluent Forms entry comes in on your WordPress site. The fields from that entry, such as name, email and message, are passed on for mapping.
Groundhogg Create New ContactCreates a new contact in Groundhogg from the form submission. Map the email field, plus any name or other fields you want on the contact record.
What you need
- FlowMatticCore
- Fluent Forms PluginPlugin
- Groundhogg PluginPlugin
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Make the email field required in your Fluent Forms form, so every submission gives Groundhogg an address to create the contact with.
- To tag new contacts by source, add Groundhogg's Add Tag(s) to User step after Create New Contact, then check a test run to see which value from the new contact it needs.
- If several forms share the site, add a Filter after the trigger that continues only for your contact form, using a form ID or name from a test run.
Questions about this workflow
What if the Fluent Forms submitter is already a Groundhogg contact?
This step is built to create contacts. How Groundhogg handles an email it already holds isn't set by this template, so send a test with an existing address and check the result in Task History and in Groundhogg.
Do Fluent Forms and Groundhogg need to be on the FlowMattic site?
Yes. Both are WordPress plugins, and FlowMattic connects to them on the site where all three are installed.
Are older Fluent Forms entries added to Groundhogg?
No. Only submissions made after you turn the workflow on create Groundhogg contacts. Earlier entries stay in Fluent Forms.
