When new form data is received in MachForm, create or update a contact in ActiveCampaign
When MachForm sends new form data, this workflow creates a contact in ActiveCampaign or updates the existing one, so people who fill in your forms are in your email marketing list without manual imports.

What this workflow does
MachForm stores form entries on your own server, while your email marketing runs in ActiveCampaign. Exporting entries and importing them into ActiveCampaign takes time, and the contact list is out of date between imports. This workflow passes each entry to ActiveCampaign as it is sent.
The MachForm trigger fires when new form data is sent, and the submitted fields become available in FlowMattic. The second step runs the Create or Update Contact action in ActiveCampaign. If the person is new, a contact is created. If ActiveCampaign already holds a contact with that email address, that contact is updated with the values you mapped instead of being duplicated.
The template does not add the contact to a list, tag it or start an automation. Those are separate ActiveCampaign actions you can add after this step if you need them. Every entry runs through the workflow, and Task History shows the data MachForm sent and ActiveCampaign's reply for each one.
Newsletter sign-ups on a self-hosted form
A site that uses MachForm for its sign-up form sends each new subscriber to ActiveCampaign, where your newsletter is written and sent.
Keeping returning customers' details current
Customers who submit a MachForm support or order form again with a new phone number or company have their existing ActiveCampaign contact updated rather than copied.
Lead capture for a consultancy
Prospects request a call through a MachForm form. They appear as ActiveCampaign contacts, ready for the follow-up emails your sales team sends.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
MachForm New Form DataFires when MachForm sends new form data to FlowMattic. Every field in the entry, including the email address, can then be mapped into ActiveCampaign.
ActiveCampaign Create or Update ContactCreates a new ActiveCampaign contact, or updates the existing contact when the email address is already there. Map the email field first, then names, phone or any other form values you want stored.
What you need
- FlowMatticCore
- MachForm AccountAccount
- ActiveCampaign AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add the ActiveCampaign Subscribe or Unsubscribe Contact From List action after this step if each person should also be subscribed to a specific list.
- Put the Add/Remove Tag From Contact action after the contact step to tag people by the form they used, which makes them easy to segment later.
- Make the email field required in your MachForm form. Without an address ActiveCampaign has nothing to create or match the contact by, and Task History shows the step's response.
Questions about this workflow
What happens when the MachForm entry's email is already in ActiveCampaign?
The existing contact is updated with the mapped values instead of a second contact being created.
Is the MachForm contact added to an ActiveCampaign list?
Not as imported. The step only creates or updates the contact. Add the Subscribe or Unsubscribe Contact From List action if you want list membership too.
Do I need to change anything in MachForm?
MachForm has to send its form data to FlowMattic for the trigger to fire. Follow the connection steps shown in the trigger after import, then submit a test entry to confirm data arrives.
Can ActiveCampaign automations start from these MachForm contacts?
Yes, if you add the Add Existing Contact to Automation action after the contact step, or set up an automation in ActiveCampaign that starts from a list or tag you apply.
