When new form submission is received in Avada Form, check if a field contains a word using Filters, and add the data to Google Spreadsheet

When someone submits your Avada form, a Filter checks whether the message field contains the word “quote”, and only entries that pass are added as new rows in your Google Sheets spreadsheet.

The When new form submission is received in Avada Form, check if a field contains a word using Filters, and add the data to Google Spreadsheet workflow on the FlowMattic canvas, with 3 steps across Avada Forms, Filter, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A general contact form on an Avada site collects everything from support questions to sales leads. If only some of those entries matter for a particular sheet, such as quote requests your sales team works through, you don't want the rest cluttering it. This workflow screens each entry with a Filter before anything reaches the spreadsheet.

The Avada Forms New Form Submission trigger starts a run for each entry. The Filters step then checks one condition: the form's message field must contain the text "quote". The check ignores upper and lower case and matches the word anywhere in the text, so "Quote", "quotes" and "quoted" all pass. Entries that don't contain it stop at the Filter.

Entries that pass go to the Google Sheets Add New Row step, which adds one row to the spreadsheet you choose. That step ships unmapped, so you pick the sheet and map the form fields to your columns after import.

The condition is an example to edit. It assumes your form has a field called message; if yours is named differently, point the Filter at your own field and change the word to the one you care about. Submit two test entries, one with the word and one without, and compare them in Task History.

Quote requests for the sales sheet

A web agency's Avada contact form feeds a sales spreadsheet only with messages that mention a quote, leaving general questions in the inbox.

Complaint tracking

A restaurant changes the word to "refund" so every message asking for one lands in a sheet the manager reviews each morning.

Volunteer offers from a contact form

A charity filters on "volunteer" and keeps a sheet of people offering their time, without building a separate sign-up form.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Avada Forms New Form Submission

Starts a run whenever someone submits your Avada form. Every field in the entry is passed to the Filter and to the Google Sheets step.

  2. Step 2Logic
    Filter Continue If

Lets the run continue only when the message field contains "quote", ignoring case. Entries without it stop here. Change the field and the word to match your own form before going live.

  3. Step 3Action
    Google Sheets Add New Row

Adds a row to your spreadsheet for each entry that passed the Filter. The template leaves it unmapped, so connect Google, pick the sheet and map the Avada form fields to your columns.

What you need

  • FlowMatticCore
  • Avada Forms PluginPlugin
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Pick a word that won't appear by accident inside other words. "quote" also matches "misquote", so a longer phrase such as "request a quote" can be more precise.
  • To catch several words, give each one its own condition group in the Filter between the Avada trigger and the Google Sheets step. An entry passes when any group matches; conditions inside one group must all match.
  • To keep the other entries too, swap the Filter for a Router between the Avada trigger and the Google Sheets step: one route for messages with the word, one for those without, each ending in its own Add New Row step aimed at a different sheet.
  • Add a dropdown such as "Reason for contact" to the Avada form and filter on its value, which is more exact than searching free text.

Questions about this workflow

Will a message that says "Quote" with a capital letter pass the Avada Filter?

Yes. FlowMattic compares the text without regard to upper or lower case, so "Quote" and "QUOTE" pass the same way as "quote".

What happens to Avada entries that don't contain the word?

They stop at the Filter and no row is added. They still sit in Avada's own entries if your form stores them, and Task History shows that the run ended at the Filter.

My Avada form has no field called message. Will this still work?

Not until you change it. Open the Filter step, replace the message field with one from your own form, and keep or change the word to check.

Which columns end up in Google Sheets?

The ones you map in Add New Row. The template doesn't map any, so choose the spreadsheet and match each Avada field you want to keep to a column.

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.

Ease of use and terrific support from the founder. Tons of integrations and regular updates. The Flowmattic custom app is great especially if you want to integrate apps that aren't available yet inside Flowmattic.
