When new form submission is received in Beaver Builder, check if a field contains a word using Filters, and add the data to Google Spreadsheet

Beaver Builder contact form entries pass through a Filter that checks whether a field contains a word you choose, and the ones that match are added as new rows in your Google Sheets spreadsheet.

Beaver Builder Forms Filter Google Sheets

3 steps Setup ~5 min Used on 1.1k sites Free to import

The When new form submission is received in Beaver Builder, check if a field contains a word using Filters, and add the data to Google Spreadsheet workflow on the FlowMattic canvas, with 3 steps across Beaver Builder Forms, Filter, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Not every contact form message belongs in your tracking sheet. If you only want enquiries that mention a product, a service or a keyword such as "quote", this workflow lets the matching ones through to Google Sheets and leaves the rest out.

Each run starts with a visitor sending one of your Beaver Builder Forms contact modules. A Filter then checks one of the submitted fields. The template ships with the Filter empty, and an empty Filter matches nothing, so as imported it stops every run. Before you turn the workflow on, open the Filter, pick the field (for example the message or subject) and set a "contains" condition with your word.

The check ignores upper and lower case, and "contains" matches the word anywhere in the text, including inside longer words: "price" also matches "pricing" and "prices". Pick a word specific enough for your forms.

Entries that pass reach the Google Sheets step, which adds a new row. It ships unmapped too: connect your Google account, choose the spreadsheet and map the form fields into columns. Entries that don't match are not written anywhere by this workflow.

Quote requests in their own sheet

A print shop filters contact form messages that contain "quote" and keeps those in a spreadsheet the estimator works through each morning.

Track interest in one service

A web agency logs only enquiries whose message mentions "SEO", so its SEO lead can see how many arrive each month.

Collect job applications from a general form

A small company that uses one Beaver Builder contact form records submissions whose subject contains "application" in a hiring sheet.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
Beaver Builder Forms New Contact Form Submission

Fires when a visitor submits a Beaver Builder contact form on your site. Every submitted field, such as the name, email, subject and message, is passed to the Filter.

  2. Step 2Logic
    Filter Continue If Condition Meet

Continues only when the condition you set matches. The condition is not set in the template, so as imported this step stops every run; choose a form field and a "contains" check with your word before going live. The check ignores case.

  3. Step 3Action
    Google Sheets Add New Row

Adds a row for each submission that passed the Filter. Pick the spreadsheet and sheet after import and map the Beaver Builder fields to your column headers.

What you need

  • FlowMatticCore
  • Beaver Builder Forms PluginPlugin
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Treat the field and word in the Filter as yours to choose: the template is an example for any keyword check on any field your form sends.
  • Before going live, send two test submissions, one with your word and one without, and check Task History to confirm the first reaches Google Sheets and the second stops at the Filter.
  • Map the submission date and the field you filter on into their own columns, so you can check later why each row was kept.

Questions about this workflow

Why are no Beaver Builder entries reaching my sheet after import?

As imported, the Filter has no condition, and a Filter without one matches nothing, so each run ends there. Set the field and the "contains" word in the Filter step, then send a test submission.

Will a Beaver Builder message that writes "Quote" with a capital letter still match?

Yes. The Filter ignores upper and lower case, so "Quote" and "quote" both match. "Contains" also matches the word inside longer words.

What happens to submissions that don't contain the word?

They stop at the Filter and no row is added to Google Sheets. The workflow doesn't change anything else about how Beaver Builder handles the form.

Can I log every Beaver Builder entry and still mark the matches?

Yes. Remove the Filter so every entry reaches Google Sheets, then add a column for the field you care about and filter the sheet itself by the word.

An excellent replacement to Zapier with unlimited tasks and full control over data. Customer service is fantastic! Have had hands-on support from owner who is ultra helpful and they have even been integrating new SAAS options continuously.

Brad

It's an exceptional product. Works great and extremely valuable. I saved thousands of dollard on Zapier, as Flowmattic makes me able to host the automation myself. And very deeply integrates with the products I need.
