When Setup Webhooks in Formsort, Send Email in Gmail

When Formsort sends a form event to FlowMattic through its webhook, this workflow sends an email from your Gmail account, for example a follow-up to the person who answered your flow.

What this workflow does

Formsort builds multi-step form flows, such as quizzes and intake forms. What happens after someone answers is up to you, and a personal email from your own inbox is often the first thing you want. This workflow sends that email from Gmail.

The trigger, labelled Setup Webhook, is FlowMattic's Formsort trigger. It fires when a specified form event takes place, once you set Formsort to send that event to the webhook URL FlowMattic gives you. The answers in the event are then passed to Gmail, whose Send Email action sends a message from the account you connect. You choose the recipient, subject and body after import, and you can drop the person's answers into the text.

Every event Formsort sends to the webhook starts a run and sends one email. Task History records each run, so you can see what Formsort delivered and what Gmail returned.

Quiz results by email

After someone completes a product-match quiz built in Formsort, Gmail sends them an email naming the result their answers point to.

Intake follow-up for a clinic or agency

A new client finishes an intake flow and receives a personal email from your address with the next steps.

Internal alert for new responses

Set the recipient to your own address, and each response arrives in your inbox with the key answers laid out in the body.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Formsort Setup Webhook

Receives the form event that Formsort sends to FlowMattic's webhook URL. Add the URL in Formsort after import and send a test response so the answers become available to map.

  2. Step 2Action
    Gmail Send Email

Delivers a message from the Gmail inbox you connect. Set the recipient, either a fixed address or the email answer from the flow, then write the subject and body with any Formsort answers you want.

What you need

  • FlowMatticCore
  • Formsort AccountAccount
  • Gmail AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Send a test response through your Formsort flow before mapping, so FlowMattic captures the answer fields you can use in the email.
  • Add a Filter after the trigger if Formsort sends more than one kind of event and only one of them should produce an email.
  • Use the respondent's first name in the subject line by mapping it from the Formsort answers, so the email reads as written for them.

Questions about this workflow

What does Setup Webhook mean in the title?

It is the name of FlowMattic's Formsort trigger. It waits for the form event you send from Formsort to the webhook URL, and the run begins when that event arrives.

Does the Gmail email go out from my own address?

Yes. Send Email uses the Gmail account you connect, so recipients see it from that inbox and replies come back there.

What if the Formsort respondent left the email answer blank?

Gmail has no address to send to, so the step returns an error, which you can see in Task History. Make the email question required in Formsort to avoid this.

Can I send the Formsort answers to two people?

Add a second Gmail Send Email step after the first with a different recipient, for example one to the respondent and one to your team.
