When a new invoice is generated in Perfex CRM, add a row to a Google Sheets document
Each invoice created in Perfex CRM is added as a new row in your Google Sheets spreadsheet, giving you an invoice log you can total, filter and share with your bookkeeper.

What this workflow does
Perfex CRM keeps your invoices, but a spreadsheet is often where the numbers get checked: monthly totals, a list for the accountant, or a quick look at who was billed what. This workflow writes each new Perfex invoice into Google Sheets the moment it is created, so the log builds itself.
The Perfex CRM New Invoice trigger fires when an invoice is created. Its details become available to map; create a test invoice to see which values Perfex sends, such as the invoice number, customer, total and due date.
The Google Sheets step then adds one row per invoice. It ships without column mapping, so after import you connect Google, pick the spreadsheet and sheet, and match the Perfex values to your column headers.
The row records the invoice as it was when created. Payments, edits and status changes made later in Perfex don't start a run. FlowMattic's Perfex integration has a separate New Payment trigger if you want payments logged too. Check Task History after your test invoice to see what Perfex sent and the row Google Sheets added.
Monthly invoice list for the accountant
A freelancer shares the Google Sheet with their accountant, who filters it by month instead of asking for exports from Perfex CRM.
Billing totals on a dashboard
An agency points a chart at the sheet to see how much it invoiced each week, with a formula column that sums the totals.
Invoice register for a small team
A services company keeps one sheet listing every invoice number and customer, so staff without Perfex access can answer billing questions.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Perfex CRM New InvoiceStarts when a new invoice is created in Perfex CRM. Each invoice is one run, and its details from Perfex become available to map into your sheet.
Google Sheets Add New RowAdds one row per invoice to the spreadsheet and sheet you choose. No columns are mapped in the template, so connect Google, pick the sheet and match the Perfex invoice values to your headers.
What you need
- FlowMatticCore
- Perfex CRM AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Map the invoice total into a column of its own and format that column as a number in Google Sheets, so a SUM formula can add up the month.
- Build a second workflow on Perfex's New Payment trigger that adds payments to another tab, so you can compare what was invoiced with what was paid.
- Keep the invoice number in the first column, which makes it easy to look up a specific invoice later with a search or a lookup formula.
Questions about this workflow
Does the Google Sheets row update when a Perfex invoice is paid?
No. The New Invoice trigger fires once, when the invoice is created. Payments and later edits don't start a run, so the row keeps the details from that moment.
Which Perfex CRM invoice details end up in the sheet?
The ones you map. The Add New Row step ships empty, so after import you pick the spreadsheet and match the Perfex values from a test invoice to your columns.
Are invoices I created before importing added to Google Sheets?
No. Only invoices created after the workflow is turned on start a run. Add earlier invoices to the sheet yourself if you want a complete list.
