When new form submission is received in Fluent Forms, check if a field contains a word using Filters, and add the data to Google Spreadsheet

Check each Fluent Forms submission for a word in a field you choose, and add the entry to Google Sheets only when the word is there. The Filter ships without a condition, so you add the word before turning it on.

The When new form submission is received in Fluent Forms, check if a field contains a word using Filters, and add the data to Google Spreadsheet workflow on the FlowMattic canvas, with 3 steps across Fluent Forms, Filter, Google Sheets
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A general enquiry form collects all sorts of entries, but a spreadsheet works best when it holds one kind. Maybe only messages that mention a product, or only entries where the subject contains a certain word, matter to the person reading the sheet. This workflow checks each Fluent Forms entry and copies only the matching ones to Google Sheets.

The Fluent Forms trigger starts a run for each entry a visitor submits. Next comes a Filter that lets the run continue only when its conditions are met, for example a message field that contains your keyword. Entries that pass reach the Google Sheets step, which adds a row with the fields you map.

As imported, the Filter has no condition, and an empty Filter stops every run, so no rows are added at all. Open the Filter, pick the field, choose contains and type your word before switching the workflow on. Fluent Forms keeps storing every entry as usual either way.

Product-specific enquiries

A contact form takes all questions, but the sheet your product team reads only gets entries whose message contains the product's name.

Partnership requests

Entries with partner or sponsor in the subject field go to a sheet the partnerships lead checks each week.

Event interest from a general form

Visitors who mention the word workshop in their message are copied to a sheet you use to plan the next session.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Fluent Forms New Form Submission

Fires when a visitor submits a Fluent Forms form on your WordPress site. Each answer in the entry is available to the Filter and the sheet.

  2. Step 2Logic
    Filter Continue If

Lets the run continue only when your condition matches, such as a chosen field containing your word. The condition is empty as imported, so add it first or every run stops here.

  3. Step 3Action
    Google Sheets Add New Row

Adds a row to the Google Sheets spreadsheet you choose for each entry that passed the Filter. Connect Google and map the Fluent Forms answers to the sheet's columns.

What you need

  • FlowMatticCore
  • Fluent Forms PluginPlugin
  • Google Sheets AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add the Filter condition right after import: choose the Fluent Forms field, set the operator to contains and enter the word you're looking for.
  • To catch more than one keyword, add a second condition to the Filter and test with an entry containing each word to see how the run behaves.
  • Submit two test entries, one with the word and one without, then open Task History to confirm the first adds a row and the second stops at the Filter.

Questions about this workflow

Why are no Fluent Forms entries reaching my Google Sheet?

Most likely the Filter still has no condition. An empty Filter stops every run, so add your contains rule and send a new entry.

Is the word check case sensitive?

Try both forms of the word yourself. Submit one in lower case and one in capitals and check Task History to see whether both pass the Filter.

Are Fluent Forms entries that don't match deleted?

No. The Filter only decides whether a row goes to Google Sheets. Fluent Forms still stores every entry in WordPress.

Can I check a field other than the message?

Yes. The Filter can use any field from the Fluent Forms entry, such as the subject, a dropdown or the email address.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
