What this workflow does
Keka HR holds your employee records, but HR teams often want a simple running log of what changed and when, in a sheet they can sort or share with finance and IT. This workflow writes a spreadsheet row for each employee event Keka sends.
The Keka HR trigger is a webhook receiver that fires for the events you specify in Keka HR. You choose those events in Keka and point them at the webhook URL FlowMattic gives you. Each incoming event goes to Google Sheets, where Add New Row writes the mapped values into the spreadsheet and sheet you pick.
The workflow logs whatever Keka sends, so the events you select decide what the sheet holds. Send only employee events if you want an employee log. Task History shows each run and the data it received.
Joiner log for IT setup
Each new employee event Keka sends adds a row, and the IT team works down the sheet to set up laptops and accounts.
Audit trail of employee changes
HR keeps a dated sheet of the employee events Keka reported, which helps when someone asks when a record was changed.
Sharing updates with payroll
A payroll partner without Keka access reads the shared Google Sheet to see which employee events came through each month.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Keka HR Setup WebhooksReceives the events you select in Keka HR at FlowMattic's webhook URL. Set up the webhook in Keka, choose the employee events to send, then trigger one so FlowMattic captures the data.
Google Sheets Add New RowAdds a row to the Google Sheets spreadsheet you choose for every event received. Map the event values Keka sends, such as the event type and employee details, to your columns.
What you need
- FlowMatticCore
- Keka HR AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- In Keka HR, select only the employee events you want logged. Every event sent to the webhook adds a row, so extra event types fill the sheet with rows you don't need.
- Add a column for the event type and map it from the payload, so you can filter the sheet by kind of change later.
- To log joiners and leavers on separate tabs, swap the single sheet step for a Router with one route per event type, each with its own Add New Row step pointing at a different tab.
Questions about this workflow
Which Keka HR events can this log?
Whichever events you specify in Keka HR's webhook setup. The trigger fires for each one it receives, so the choice you make in Keka decides what reaches the sheet.
Does the sheet update an existing row when an employee changes again?
No. Add New Row writes a fresh row for every event, so the sheet becomes a history with one row per event rather than one row per employee.
Do I need to prepare the Google Sheet first?
Yes. Create the spreadsheet with a header row for the columns you want, then pick it in the Google Sheets step and map the Keka values to those columns.
