Give reps a to-do for every new hot lead each morning

Once a day, FlowMattic finds FluentCRM contacts with your hot-lead tag, creates a ClickUp follow-up task and a Slack reminder for each one, then removes the tag so the lead isn’t picked up again.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Tagging a lead as hot in FluentCRM is easy. Making sure someone actually calls them is the hard part. This workflow turns the tag into a daily to-do list: each morning every newly tagged lead becomes a ClickUp task and a Slack reminder, and the tag comes off so tomorrow's list only holds new arrivals.

The Schedule trigger runs once a day at the time you set. The FluentCRM Get Contact by Tag IDs step then fetches the contacts that carry the tag you choose. An Iterator goes through that list and runs the remaining three steps once per contact.

For each contact, a ClickUp task is created named Follow up with their first name, with a note to call their email address today. A Slack message posts the same name and email to the channel you pick. Finally a FluentCRM step removes tags from that contact.

The template ships with the tag left blank in both FluentCRM steps. Choose your hot-lead tag in Get Contact by Tag IDs and the same tag in Remove Tags From Contact. If the removal step has no tag, nothing comes off and the same leads get new tasks every day. A lead you tag again later is picked up again on the next run.

Morning call list for a small sales team

Leads tagged hot during the day by forms or by hand appear the next morning as ClickUp tasks, one per person, plus a Slack list the team reads over coffee.

Hand-off from marketing to sales

A FluentCRM automation adds a hot-lead tag when someone clicks a pricing email. Sales receives a task for each one the following morning without anyone sending a list.

Agency enquiries that need a callback

An agency tags serious enquiries in FluentCRM and lets this workflow turn them into ClickUp tasks for the account managers.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Schedule Every Day

Starts one run every day. Set the time when you configure the trigger, such as early morning so tasks are waiting when reps start.

  2. Step 2Action
FluentCRM Get Contact by Tag IDs

Fetches FluentCRM contacts that have the tags you choose. The step ships with no tag selected, so pick your hot-lead tag after import.

  3. Step 3Logic
    Iterator Loop Through Array

Loops through the contacts returned by FluentCRM and runs the ClickUp, Slack and Remove Tags steps once for each contact in the list.

  4. Step 4Action
    ClickUp Create Task

Creates a ClickUp task named Follow up with plus the contact's first name, with a description asking the rep to call their email today. Pick the ClickUp list your reps work from when you set the step up.

  5. Step 5Action
    Slack Send Channel Message

Posts a Slack message with the contact's first name and email as a reminder to follow up today. Choose the channel your sales team watches.

  6. Step 6Action
    FluentCRM Remove Tags From Contact

Removes tags from the FluentCRM contact matched by email. The tag isn't set in the template, so select the same hot-lead tag here, or every run picks up the same contacts again.

What you need

  • FlowMatticCore
  • FluentCRM PluginPlugin
  • ClickUp AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Use a dedicated tag, such as hot-lead-new, that only marks people waiting for a follow-up task, since this workflow removes it after each run.
  • Map the contact's phone number into the ClickUp task description if FluentCRM holds it, so reps can call without opening the CRM.
  • Add a Filter between the Iterator and the ClickUp step that continues only when the contact's email is not empty. A contact it stops also skips the Slack message and keeps the tag.

Questions about this workflow

Why remove the FluentCRM tag at the end?

The schedule runs every day and fetches everyone with the tag. Removing it after the task is created means each lead is handled once, and the next run only finds contacts tagged since.

What if I forget to set the tag in the Remove Tags step?

Nothing is removed, so the same contacts are fetched again the next morning and get a fresh ClickUp task and Slack message each day. Set the tag in both FluentCRM steps before you activate the workflow.

Does the Slack reminder list all leads in one message?

No. The Slack step sits inside the Iterator, so each contact gets their own message. For one summary, move the Slack step out of the loop and post a combined list instead.

Can a lead get a ClickUp task more than once?

Only if they're tagged again after the tag was removed, or if the removal step doesn't remove the right tag.
