Split orders into wholesale, bulk and standard flows

New WooCommerce orders are split by item count: over 50 items opens a wholesale task in ClickUp, 11 to 50 alerts the warehouse in Slack, and 1 to 10 sends the customer an order received email.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A ten-item order and a five-hundred-item order shouldn't go through the same handling. Big orders may need a pallet, a picker or a check on stock, while small ones just need packing. This workflow sorts each order by size the moment it is placed and starts the right kind of follow-up.

The WooCommerce trigger starts a run for every new order. A Router then reads the order's item count. Over 50 items takes the Wholesale route, which creates a ClickUp task named after the order number with the billing email in its description. From 11 to 50 takes the Bulk route, which posts the order number to a Slack channel asking for a picker. From 1 to 10 takes the Standard route, which emails the customer that the order is being packed.

The three ranges don't overlap, so each order follows exactly one route. An order whose item count arrives blank counts as zero and matches none of them. Whether the count means units or product lines depends on what WooCommerce passes to FlowMattic, so place a test order with several of one product and check Task History before you set your thresholds.

After import, choose the ClickUp list for wholesale tasks and the Slack channel for bulk alerts. The numbers 50 and 10 are starting points to edit for your store.

Trade orders that need a fulfilment plan

A supplier that sells to both shops and households opens a ClickUp task for every order over 50 items, so the operations lead can arrange freight and check stock.

Assigning a picker to larger orders

A warehouse team sees bulk orders in a Slack channel and claims them there, while small orders go through the usual packing queue.

A quick note for everyday buyers

Customers who buy a handful of items get a short packing now email straight after checkout.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    WooCommerce New Order Created

Fires for each order placed in your WooCommerce store. The item count, order number and billing email are handed to the Router and the action steps.

  2. Step 2Logic
    Router 3 paths

Sends the order down one of three routes by item count: Wholesale above 50, Bulk from 11 to 50 and Standard from 1 to 10. The comparisons use whole numbers, and a blank count is treated as zero, so it matches no route.

  3. Step 3Action
    ClickUp Create Task

On the Wholesale route, creates a ClickUp task titled with the order number, asking the team to prepare wholesale fulfilment for the billing email. Choose the ClickUp list when you configure the step.

  4. Step 4Action
    Slack Send Channel Message

On the Bulk route, posts a Slack message with the order number asking someone to assign a picker. You choose the bulk-orders channel once imported. A private channel needs Slack's Send Private Channel Message action in place of this one.

  5. Step 5Action
    Email Send Email

On the Standard route, emails the billing address with the subject Order received, telling the customer their order is being packed. The email goes through WordPress mail or your SMTP account.

What you need

  • FlowMatticCore
  • WooCommerce PluginPlugin
  • ClickUp AccountAccount
  • Slack AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Change the thresholds by editing both conditions on each route, and keep the edges touching: if Wholesale is greater than 100, set Bulk to less than 101, so no order fits two routes or falls between them.
  • Map the order total and shipping address into the ClickUp task description, so the wholesale task holds what the team needs to quote freight.
  • Add a Slack message to the Wholesale route after the ClickUp step if the warehouse should also hear about the biggest orders, not only the operations team in ClickUp.

Questions about this workflow

Does the item count mean units or different products?

It is the items_count value WooCommerce passes to FlowMattic with the order. Place a test order with several units of one product and look at Task History to see which it counts in your store.

Can a WooCommerce order trigger two of the routes?

Not with the ranges as imported. Above 50, 11 to 50 and 1 to 10 can't overlap, and the Router runs only the routes whose conditions match.

Do wholesale and bulk customers get an email too?

No. Only the Standard route emails the customer. Add an Email step to the other two routes if larger buyers should also get a note.

Which ClickUp list do the wholesale tasks go to?

The one you choose after import. The template sets the task name and description, and you connect ClickUp and pick where the task is created.
