Store new FluentCRM contacts in an Airtable base
Whenever a contact is created in FluentCRM, this workflow adds a matching record to your Airtable base, so people who don’t use WordPress can see and sort your contacts.

What this workflow does
FluentCRM keeps your contacts inside WordPress, which is where your email marketing happens. Other people on the team often plan and report in Airtable instead, and they don't need, or shouldn't have, a WordPress login. This workflow gives them a copy of each new contact in a base they already use.
The FluentCRM trigger fires when a contact is created. FlowMattic passes the contact's details to Airtable, where the Create Record action adds a new record. The template ships without field mapping, so after import you connect your Airtable account and map the FluentCRM details, such as email and name, into the record.
It is a one-way copy of new contacts. Edits you make later in FluentCRM don't reach Airtable, and deleting a record in Airtable doesn't touch your CRM. Contacts that existed before you turned the workflow on aren't copied.
Sales team planning in Airtable
Your sales team tracks deals in an Airtable base. Each new FluentCRM contact appears there as a record they can assign, tag and add notes to.
Reporting on sign-up growth
Build an Airtable view grouped by the week a record was created to see how many contacts joined FluentCRM, without exporting from WordPress.
Sharing leads with a partner
A partner agency follows up on leads but has no access to your site. Share an Airtable view of the new records with them instead of sending CSV files.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
FluentCRM New Contact CreatedFires when a new contact is created in FluentCRM. The contact's details are passed on for mapping into Airtable.
Airtable Create RecordCreates a new record in Airtable for the contact. Connect your Airtable account, then map the FluentCRM contact details into it and confirm the result with a test contact.
What you need
- FlowMatticCore
- FluentCRM PluginPlugin
- Airtable AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Filter after the trigger on the contact's status if only some new contacts belong in Airtable, for example only subscribed ones.
- Create one test contact in FluentCRM after import, so the trigger captures real contact data before you map it into the Airtable step.
- Add a field in your Airtable base for the date the record arrived, and map the run's date into it, so you can group new contacts by week or month.
Questions about this workflow
Will my existing FluentCRM contacts be copied to Airtable?
No. The trigger fires for contacts created after the workflow is on. Bring older contacts across with a one-time export and Airtable import.
Do changes in FluentCRM update the Airtable record?
No. The workflow only creates a record when a contact is created. Later edits to that contact stay in FluentCRM.
Can the same person end up in Airtable twice?
The step always creates a new record and does not look for an existing one. If a contact is deleted from FluentCRM and added again, Airtable gets a second record.
