Add every FlowMattic Forms lead to FluentCRM

Every submission to your chosen FlowMattic form creates a FluentCRM contact from the email, name and phone fields, or updates the contact when that email is already in your CRM.

The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

A form that collects leads is only half the job if the entries sit in the form's submission list. To email those people, tag them or start a sequence, they need to be in your CRM. This workflow puts each respondent into FluentCRM the moment they submit, with no export or copy-paste.

The FlowMattic Forms trigger runs when the form you select receives a new submission. Each field becomes a value you can map. The FluentCRM step comes next. Its Create or Update Contact action looks the person up by their email address. The template maps the form's email field to the contact email, the name field to the first name and the phone field to the phone number.

Both FlowMattic and FluentCRM run on your WordPress site, so the lead never leaves it. If your form uses different field names, remap them in the FluentCRM step after import. Task History records each run, so you can confirm what reached the contact record.

Free consultation requests

A coaching site's booking-interest form adds each visitor to FluentCRM with a phone number, ready for a call list or a welcome email.

Newsletter sign-ups on a landing page

A short FlowMattic form with name and email feeds FluentCRM directly, so new sign-ups are on file before your next campaign goes out.

Returning visitors who submit again

Someone already in your CRM fills in a second form. FluentCRM finds them by email and updates the record instead of creating a duplicate.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Form Builder New Form Submission

Runs whenever the FlowMattic form you select gets a new submission. The email, name and phone answers, plus any other fields, are available to the next step.

  2. Step 2Action
    FluentCRM Create or Update Contact

Creates a FluentCRM contact from the submission, or updates the existing contact with the same email. The form's email, name and phone fields are mapped to email, first name and phone.

What you need

  • FlowMatticCore
  • FluentCRM PluginPlugin

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add a Filter between the two steps that continues only when a marketing consent checkbox is ticked, so only people who agreed are added to FluentCRM.
  • If your form collects first and last names separately, remap the name fields in the FluentCRM step so each one fills the right part of the contact.
  • Add a FluentCRM Add Tags to Contact step after this one to tag everyone from this form. The contact exists by then, because the previous step creates or updates it.

Questions about this workflow

Will a repeat FlowMattic Forms submission create a second FluentCRM contact?

No. Create or Update Contact matches on email address, so a person who submits again is updated rather than added twice.

Do FluentCRM and FlowMattic need to be on the same site?

Yes. FluentCRM is a WordPress plugin, and the step works with the FluentCRM install on the same site as FlowMattic.

What if my form has no phone field?

Leave the phone mapping empty or remove it in the FluentCRM step. The contact is still created from the email and name.

Are past form entries added too?

No. The trigger listens for new entries, so anything sent before the workflow is switched on stays out of your CRM.
