Add each new AiWifi guest connection to a Mailchimp audience

Each guest who connects to your AiWifi captive portal is added to a Mailchimp audience, so the people who use your venue’s WiFi end up on the list you email from.

The Add each new AiWifi guest connection to a Mailchimp audience workflow on the FlowMattic canvas, with 2 steps across AiWifi, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Guest WiFi logins collect contact details at the door of a cafe, hotel or shop, but those details often sit in the WiFi dashboard unused. This workflow moves each guest into Mailchimp as they connect, where you already send your newsletters and offers.

The AiWifi trigger fires when a new guest connects to your captive portal. FlowMattic receives the guest data from that login. The Mailchimp step, Add New Member, then adds the guest to the audience you choose, mapping the email address and any other details you collect. If that address is already a member, Mailchimp updates their details instead of adding them again.

Only add people your portal asked for permission to email. Collect consent on the AiWifi login page, and use a Filter if some guests decline. Task History records each connection and the reply from Mailchimp, which helps if an address is rejected.

Cafe newsletter from WiFi logins

Customers sign in to the cafe WiFi with their email, and each one joins the Mailchimp audience that receives the monthly menu update.

Hotel guest list for return offers

Guests who connect to hotel WiFi during their stay are added to an audience the marketing team uses for seasonal emails.

Event venue attendee list

Visitors to a venue log in to the guest WiFi, and the venue builds a Mailchimp audience of attendees for future event announcements.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    AiWifi Guest Connection

Fires when a new guest connects to your AiWifi captive portal. The details the guest gave at login are passed on for mapping.

  2. Step 2Action
    Mailchimp Add New Member

Adds the guest to your chosen Mailchimp audience, or updates the member if that email is already there. Map the guest's email and any name fields.

What you need

  • FlowMatticCore
  • AiWifi AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • If your AiWifi login asks guests for marketing consent, add a Filter after the trigger that continues only when they agreed, so other guests never reach Mailchimp.
  • Leave optional fields unmapped if guests often skip them at login. A blank name from a later connection can overwrite the name Mailchimp already holds for that member.
  • Connect a test device to the WiFi after import so FlowMattic captures the guest fields AiWifi sends, then complete the Mailchimp mapping.

Questions about this workflow

What happens when a returning guest connects to AiWifi again?

If the trigger fires for them again, Add New Member finds the existing address and updates it rather than creating a second member. Blank values from the new login can overwrite details already stored.

Do AiWifi guests need to agree to receive emails?

You are responsible for consent. Collect it at login if your portal allows, and add a Filter so only guests who agreed are added to Mailchimp.

Which Mailchimp audience do guests join?

Guests join whichever audience is set in the Mailchimp step. To split guests by location, clone the workflow per venue and pick a different audience in each.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
