Add new Academy LMS students to a Mailchimp audience after registration

When a new student registers in Academy LMS, FlowMattic adds them to your Mailchimp audience, or updates them if they’re already a member, so your course emails can reach them.

The Add new Academy LMS students to a Mailchimp audience after registration workflow on the FlowMattic canvas, with 2 steps across Academy LMS, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

New students need welcome emails, course tips and news about your next class. If your LMS is Academy LMS and your email tool is Mailchimp, every registration has to make it from one to the other. This workflow does that as each student signs up.

The Academy LMS trigger, New Student Registration, fires when a new student is registered on your site. The registration then goes to Mailchimp through Add New Member. Its catalog entry describes it as adding a new member to the list, or updating them if they already exist. You map the student's email and name into the audience fields.

The trigger is about registration, not enrolment. A student is added once they register, whether or not they have joined a course yet. Academy LMS has a separate New Enroll trigger if you want course enrolments instead.

Welcome series for new learners

A Mailchimp automation on the audience sends each newly registered student a welcome email with tips for finding their first course.

Launch announcements

Everyone who registers on your Academy LMS site is in Mailchimp when you announce a new course, even if they haven't bought one yet.

School or training centre newsletters

Registered learners join the audience you use for term dates and schedule changes, without a separate sign-up form.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Academy LMS New Student Registration

Fires when a new student registers on your Academy LMS site. The student's registration details are passed on for the Mailchimp step.

  2. Step 2Action
    Mailchimp Add New Member

Adds the student to the Mailchimp audience you choose, or updates them if their email is already a member. Map the email and any name fields from Academy LMS.

What you need

  • FlowMatticCore
  • Academy LMS AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Add Mailchimp's Add Member Tag action after this step with a tag such as "Academy student", so you can tell learners apart from other people in the audience.
  • If you only want paying or enrolled learners in Mailchimp, build the workflow on Academy LMS's New Enroll trigger instead of New Student Registration.
  • Register a test student after import and check Task History, so you can see which fields Academy LMS sends and map the name fields correctly.

Questions about this workflow

What if the Academy LMS student is already in my Mailchimp audience?

Add New Member updates the existing member rather than failing. Map only fields Academy LMS fills in, because a blank value could replace one Mailchimp already holds.

Does this add students when they enrol in a course?

No. It runs on registration. Use Academy LMS's New Enroll trigger in a separate workflow if enrolment is what matters to you.

Are Academy LMS students who registered earlier added?

No. Only students who register after you turn the workflow on reach Mailchimp. Import earlier students into the audience separately.

It is self hosted and wordpress based. So you can effectively run this on any shared hosting with unlimited tasks. And new integrations are constantly being added. It's crazy how valuable this tool is.

The software works really well, and the team is adding integrations constantly, so I'm positive it eventually will catch up with Zapier. The flows are very easy to create and if you have any doubt, the team will give you great support.
