What this workflow does
Leads from Facebook ads sit in Meta's tools until someone downloads them. By then the person who filled out the form may have moved on. If your team already tracks prospects in Airtable, this workflow puts each lead there as it arrives, with no CSV exports.
The Facebook Lead Ads trigger fires when a new lead is created on the form you connect. FlowMattic receives the lead's answers and passes them to Airtable, whose Create Record action adds a record to the base and table you pick. You map each form answer, such as name, email or phone, to a field in that table.
Every lead creates one new record. The template does not look for an earlier record with the same email, so someone who submits twice appears twice. Once leads are in Airtable you can use your own views, statuses and assignees to work through them. Task History shows each run and the data sent, which helps if a lead seems to be missing.
A sales pipeline in Airtable
A home-improvement company runs a quote request ad. Each lead becomes an Airtable record with a status field the sales team moves from New to Contacted.
Enrolment enquiries for a course
An online school collects interest through a lead form, and admissions staff see every enquiry in an Airtable view grouped by course.
A shared lead list for a small agency
An agency runs lead ads for a client and gives the client access to the Airtable base, so both sides see each new lead without passing spreadsheets around.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Facebook Lead Ads New LeadFires when a new lead is created on the Facebook Lead Ads form you connect. The lead's answers are passed on so you can map them into Airtable.
Airtable Create RecordAdds one record per lead to the Airtable table you point it at. Map each Facebook lead answer to the matching field, and connect your Airtable account.
What you need
- FlowMatticCore
- Facebook Lead Ads AccountAccount
- Airtable AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Add a Status field to the Airtable table so your team can mark each lead as contacted, qualified or closed once its record arrives.
- Submit a test lead through your form after import, then map its answers to Airtable fields so each column fills as you expect.
- Add a Slack or Gmail step after Airtable to tell a salesperson about the lead the moment its record is created.
Questions about this workflow
Does Airtable get a duplicate record if a Facebook lead submits twice?
Yes. Create Record always adds a new record, and the template does not check for an existing one. Add an Airtable Search Record step before it if you want to catch repeats.
Which Facebook lead fields can I send to Airtable?
The answers your lead form collects, mapped to fields you choose in the Airtable step. Run a test lead to see exactly what arrives.
Will leads collected before I turned this on appear in Airtable?
No. Only leads created after the workflow is active trigger a run. Older leads would need to be exported from Meta and imported into Airtable.
Do my Airtable field types matter?
Yes. A field expecting a number or date may reject text that does not match its type. Plain text fields are the easiest to map Facebook answers into.
