Add new paid Shopify orders to Google Sheets rows
When a Shopify order is paid, this workflow adds it as a new row in Google Sheets with the order values you map, building a paid-orders log you can filter, total and share outside Shopify.

What this workflow does
Shopify's reports cover a lot, but sometimes you need the raw orders in a spreadsheet: for a bookkeeper, a supplier, or your own formulas. Exporting from the admin each week is a chore, and the file is stale as soon as it is downloaded. This workflow writes each paid order to Google Sheets instead.
The Shopify trigger is Order Payment, which fires when an order is paid in your store. Orders that are created but not yet paid do not reach the sheet until payment happens. FlowMattic passes the paid order's data to Google Sheets, where Add New Row writes it to the spreadsheet and sheet you pick, with each column filled from the order value you match to it.
The row reflects the order at the moment it was paid. Later fulfilment, edits or refunds in Shopify are not written back. Orders paid before you switched the workflow on stay out of the sheet, so export those once if you need a full history. Task History lists each run, with the data that went to Google Sheets.
Bookkeeping without Shopify access
The person who keeps your books opens a Google Sheet you share with them. Each paid order appears with its date, total and taxes, ready to reconcile against payouts.
Supplier or print-on-demand partner
A partner who makes your products reads a sheet of paid orders with the items and shipping details, without needing a staff account in your store.
Your own sales dashboard
Pivot tables and charts in Google Sheets draw on the paid-orders tab, so you can see sales by product or day in the layout you prefer.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Shopify Order PaymentRuns when an order is paid in your Shopify store. The paid order's details, such as order number, customer, items and totals, are passed on for mapping.
Google Sheets Add New RowWrites a row for the paid order to the Google Sheets spreadsheet you pick. Set up column headers first, then match each one to a Shopify order value.
What you need
- FlowMatticCore
- Shopify AccountAccount
- Google Sheets AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- Use an Iterator over the order's line items with the Google Sheets step inside it if you want one row per product rather than one per order.
- Add a Filter that continues only when the order total is greater than a set figure, if the sheet is meant for larger orders. Decimals are cut off, so 49.99 compares as 49.
- Place and pay for a small order after import so FlowMattic captures real Shopify data, then map the columns and refund the order if it was only a test.
Questions about this workflow
Are unpaid Shopify orders added to the Google Sheet?
No. The Order Payment trigger fires when an order is paid, so pending orders reach the sheet only once their payment goes through.
Does the Google Sheets row change when a Shopify order is refunded?
No. The row is written once, at payment. Refunds and later edits stay in Shopify unless you build a separate workflow for them.
Can each Shopify line item get its own row in Google Sheets?
Not as imported. The template writes one row per paid order. Add an Iterator over the line items and move the Google Sheets step inside it.
Will orders paid before I import the workflow appear in Google Sheets?
No. Only orders paid after the workflow is on are added. Export earlier orders from Shopify once and paste them into the sheet if you need them.
