Add new Sarv leads to a Mailchimp audience for follow-up

Each lead captured in Sarv is added to the Mailchimp audience you choose, or updated there if the address is already on it, so your email follow-up starts from an up-to-date list.

The Add new Sarv leads to a Mailchimp audience for follow-up workflow on the FlowMattic canvas, with 2 steps across Sarv, Mailchimp
The workflow as it appears in the builder after import. Each step opens for editing.

What this workflow does

Leads that come in through Sarv sit with your calling team, while your follow-up emails go out from Mailchimp. Moving people between the two by export and import is slow and easy to forget. This workflow adds each new Sarv lead to a Mailchimp audience as it is captured.

The Sarv trigger fires when a new lead is captured, and passes the lead details on. FlowMattic then runs the Mailchimp Add New Member action. It adds the person to the audience you select, or updates their record if that email is already a member, so a returning lead does not create a duplicate.

Mailchimp needs an email address for every member. Sarv is a telephony platform, so some leads may arrive with only a phone number; a test lead shows what your Sarv data includes. Only add people who have agreed to receive your emails. Task History records every run, including any lead Mailchimp could not add.

Inbound call leads who asked for a brochure

A caller leaves their email with your Sarv team to get product details. They land in a Mailchimp audience that sends the brochure sequence you set up there.

Missed-call follow-up by email

Leads captured from calls your team couldn't answer join an audience you use for a callback-and-info email, alongside the call back itself.

Campaign response tracking

Leads from a phone campaign run through Sarv go into one Mailchimp audience, so your email team can reach everyone who responded to that campaign.

How this workflow runs

What happens at each step once the workflow is on, and what you need before you import it.

  1. Step 1Trigger
    Sarv New Lead

Runs for every lead your Sarv account records. The lead's details are handed to the Mailchimp step so you can map them, including the email if Sarv recorded one.

  2. Step 2Action
    Mailchimp Add New Member

Adds the lead to your chosen Mailchimp audience, or updates the member if the email is already there. Map the email and any name fields from the Sarv lead and connect your Mailchimp account.

What you need

  • FlowMatticCore
  • Sarv AccountAccount
  • Mailchimp AccountAccount

After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.

Make it yours

Changes worth making after you import it.

  • Put a Filter right after the Sarv trigger that continues only when the lead's email is not empty. Leads with just a phone number then stop before Mailchimp.
  • Add a Mailchimp Add Member Tag step after the member is added, with a tag such as Sarv lead, so you can build segments for people who came in by phone.
  • Before switching the workflow on, create one test lead in Sarv and check that its fields appear for mapping in the Mailchimp step.

Questions about this workflow

What if the Sarv lead is already in my Mailchimp audience?

Add New Member updates an existing member instead of adding a second one. The lead keeps one record in the audience, with the details you mapped.

What happens to a Sarv lead with no email address?

Mailchimp can't add a member without an email, so that run reports an error on the Mailchimp step in Task History. Add a Filter on the email field to stop those leads first.

Does this send an email to the new Mailchimp member?

FlowMattic's part ends once the Sarv lead is in the audience. Any welcome email or journey comes from what you have set up for that audience in Mailchimp.

Are leads captured in Sarv before import added too?

No. The trigger fires for new leads, so only those captured after the workflow is on reach Mailchimp.
