What this workflow does
Leads from Shiksha arrive with a student's interest in a course, but they sit in Shiksha until someone exports them. By the time they reach your mailing list, the student may have moved on to other options. This workflow adds each lead to Mailchimp as it is captured.
The Shiksha trigger, New Leads, starts a run as soon as Shiksha records a lead for you. FlowMattic receives the lead's details that Shiksha sends. The Mailchimp step, Add New Member, then adds that person to the audience you choose, or updates them if their email is already there. You map the lead's email, plus any name fields you want, from the Shiksha data.
Once the lead is in your audience, your Mailchimp emails and automations can reach them. The workflow itself sends nothing. Task History lists every lead it handled and Mailchimp's reply, so you can check a lead that didn't appear.
Course brochure follow-up
A student enquires about your MBA programme on Shiksha. They join your Mailchimp audience, where your welcome email with the brochure can reach them.
Admissions deadline reminders
Every Shiksha lead is in one audience, so your admissions team can send application deadline reminders to all of them from Mailchimp.
Open day invitations
Students who enquire through Shiksha are on your list in time to get an invitation to your next campus open day or webinar.
How this workflow runs
What happens at each step once the workflow is on, and what you need before you import it.
Shiksha New LeadsFires when a new lead is captured in Shiksha. The lead's details are passed to the Mailchimp step so you can map them.
Mailchimp Add New MemberAdds the lead to your chosen Mailchimp audience, or updates the member if that email is already there. Map the email and name from Shiksha and connect Mailchimp on import.
What you need
- FlowMatticCore
- Shiksha AccountAccount
- Mailchimp AccountAccount
After importing, map your own data. To keep the template universal, not every step is pre-filled. Open each step in the builder and connect your accounts and fields (channels, lists, sheets, recipients) before you switch the workflow on.
Make it yours
Changes worth making after you import it.
- If Shiksha sends the course the student asked about, add Mailchimp's Add Member Tag step after this one and map the course in, so you can send course-specific emails.
- Wait for a real lead after import, or check Task History once one arrives, then confirm the email and name fields are mapped to the right Mailchimp fields.
- Add a Filter after the trigger that continues only when the email field is not empty, so leads without an address don't produce Mailchimp errors.
Questions about this workflow
What if the Shiksha lead is already in my Mailchimp audience?
Add New Member updates an existing member instead of adding a second copy. The person stays in the audience once, with the details from the latest lead.
Does this send the student an email from Mailchimp?
The workflow only adds them to the audience. Any email they get comes from the campaigns or automations you set up in Mailchimp.
Are leads captured in Shiksha before I import this added too?
No. The trigger fires for leads captured after the workflow is on. Earlier leads need to be imported into Mailchimp separately.
Can Shiksha leads go to different Mailchimp audiences by course?
Yes, with a change. If the lead data includes the course, add a Router with a condition on it for each route, and an Add New Member step pointing at a different audience on each.
